POSITION SUMMARY

  • The Grants Manager is responsible for the creation of grant proposals and related materials that support the JVS Development team’s strategic fundraising goals. The Grants Manager works closely with the Development team, finance department, and programmatic staff throughout the agency to develop compelling proposals in response to solicitations from government and private grant- making organizations. Reporting to the Associate Director, the Grants Manager will work as part of a team within the Development Department who are responsible for increasing, diversifying, and sustaining philanthropic support from foundations, corporations, and government sources. The ideal candidate will be an excellent writer, strong communicator, accomplished project manager, and possess meticulous attention to detail.

ESSENTIAL JOB FUNCTIONS:

  • Grant Writing and Reporting (65%)
  • Collaborate with the Associate Director to implement grant strategies and priorities for the agency.
  • Serve as Project manager for a portfolio of private foundations.
  • Coordinate the production of assigned proposals, reports, letters of intent, and concept notes annually, serving as lead writer for many projects.
  • Initiate and manage internal requests for data, budgets, expenditure reports, and programmatic information.
  • Research, write, and submit compelling grant proposals, letters of intent, and reports, following JVS SOPs.
  • Manage work with freelance grant writers for funder proposals and reports as needed, providing internal guidance, reviewing drafts, and setting deadlines.
  • Review all projects for accuracy, completeness, and consistency with JVS style; ensure on-time submission of all proposals and reports.
  • Research foundation, corporate, and government initiatives as assigned to identify a pipeline of prospective funding sources aligned with JVS’s work.
  • Contribute to special events and projects as part of the Development team.
  • Participate in Development team staff meetings and perform other duties as assigned or requested.
  • Grants Administration (20%)
  • Work with Associate Director to manage overall grants project calendar, ensuring deadlines are met.
  • Research relevant studies, reports, and statistical data to strengthen agency proposals and funder materials.
  • Update narrative boilerplates for agency and programs.
  • Maintain a library of common attachments requested with reports and proposals, ensuring they are current.
  • Update agency profiles on nonprofit rating sites including Charity Navigator, GuideStar, and GreatNonprofits, and request and collect information to update bi-annually.
  • Research ways to streamline processes and enhance efficiency.
  • Support the Associate Director on funding-related projects and stewardship activities as needed.
  • Data entry of grants activities
  • Contribute to special events and projects as part of the Development team.
  • Participate in Development team staff meetings and perform other duties as assigned or requested.
  • Attend Development and agency meetings and events.
  • Participate in professional development opportunities.
  • Gift Processing and Acknowledgements (10%)
  • Record and process all gifts, grants, and donor information in an accurate and timely manner.
  • Execute the weekly acknowledgment process, including generating and sending donor acknowledgement letters in a timely manner.
  • Prepare weekly report of all gifts and grants that have been pledged and/or received.
  • Grant Awards and Compliance (5%):
  • Record funding decisions (approved or denied) in Salesforce, updating awarded amounts, grant periods, and compliance requirements.
  • Assemble necessary documentation for funded proposals and share with Finance and Program teams.
  • Review award documentation and proposals to create gift acknowledgement letters, confirming grant conditions and time periods. Obtain approval and submit letters to funders.
  • Record proposals submitted, including the amount requested, restrictions of funding, and expected decision dates.
  • Track the status of submitted proposals in Salesforce, ensuring data accuracy and
  • completeness.
  • Share relevant proposal materials with program staff while maintaining confidentiality of budget and salary information.

Key Qualifications

  • Bachelor’s degree or equivalent relevant professional experience
  • At least three years of professional grant writing or grant management experience, or related work in a non-profit
  • Demonstrated aptitude for writing and communicating
  • Strong editing and proofreading skills
  • Knowledge of standard written English, including correct grammar and spelling
  • High level of accuracy and meticulous attention to detail
  • Excellent analytical skills
  • Solid understanding of budgets as they relate to grants
  • Ability to work professionally under pressure and meet tight and/or competing deadlines
  • Strong organization, project, and time management skills, including the ability to prioritize and coordinate multiple projects
  • Self-starter, ability to work independently
  • Ability to work collaboratively across departments
  • Ability to exercise discretion in handling confidential information
  • Proficiency with relevant technology (MS Office Suite, Salesforce or similar database, etc.)
  • Knowledge of the local, regional, and national philanthropic communities a plus
