About the Organization
The Nancy & David Wolf Holocaust & Humanity Center is a museum and education center located at Cincinnati’s historic Union Terminal. More than a museum, the Center offers dynamic public programming, educational resources, and community engagement opportunities focused on Holocaust education and developing upstanders who exemplify the best of humanity today.
The Center’s mission is to ensure the lessons of the Holocaust inspire action today. We educate about the Holocaust, remember its victims and act on its lessons. Through innovative programs and partnerships, the Center challenges injustice, inhumanity, and prejudice, and fosters understanding, inclusion, and engaged citizenship.

Position Summary
The Administrative & Operations Assistant plays a key role in ensuring the smooth day-to-day operations of the organization. This position provides administrative, operational, and light financial support across departments while directly supporting the leadership team’s administrative needs.
The ideal candidate is highly organized, proactive, and detail-oriented, with strong written and verbal communication skills and a customer-service mindset. This role requires the ability to manage multiple priorities while maintaining professionalism, discretion, and a collaborative approach.

Key Responsibilities
Office & Administrative Support
  • Serve as the first point of contact for visitors and callers, ensuring a professional and welcoming experience
  • Manage incoming communications, including phone, email, and mail distribution
  • Maintain organizational calendars, schedule meetings, and coordinate logistics (agendas, materials, setup, follow-up)
  • Prepare correspondence, reports, and presentations
  • Maintain a clean and organized office environment, including shared spaces such as the staff kitchenette
  • Order and manage office and program supplies
Financial & Data Support
  • Support deposit processing and coordinate documentation with finance partners
  • Maintain accurate data in CRM (e.g., donations, payments, marketing contacts, records)
  • Generate reports and assist with data tracking and organizational metrics
Cross-Functional & Event Support
  • Support program, development, and education teams with scheduling and coordination
  • Assist with planning and execution of meetings, events, and staff activities
  • Provide general administrative support for projects and initiatives across teams
  • Serve in a back-up capacity for the Museum Experience Team by occasionally working the ticket/museum reception area and performing related duties
Leadership & Board Support
  • Provide administrative support to leadership and assist with board-related activities
  • Prepare meeting materials and maintain records
  • Attend board meetings and take meeting minutes
HR & Organizational Support
  • Serve as a connector for administrative coordination with the outsourced Human Resources team
  • Support onboarding logistics and internal processes as needed

Qualifications
Required
  • High school diploma or equivalent
  • 3+ years of administrative or office support experience
  • Strong organizational and time management skills with the ability to multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to handle confidential information with discretion
  • Professional, friendly demeanor and strong customer service skills
Additional Experience a Plus
  • Experience with CRM systems
  • Basic accounting or financial processing experience
