Position Overview:
Are you passionate about behind-the-scenes work that makes a real difference? WIZO USA is seeking a detail-oriented, tech-savvy, and mission-driven Database & Operations Coordinator to join our New York team.
In this vital role, you’ll help ensure our fundraising and operations run smoothly, fueling life-changing work in Israel every day. You will maintain the integrity of our donor database, support audit preparation, and help ensure the efficient day-to-day operations of our national headquarters.
This is primarily an internal operations and database administrative role focused on data entry, reporting, organization, bookkeeping support, and administrative coordination. It is not a frontline fundraising or donor-relations position, though the role supports the fundraising team and the impact of WIZO’s work in Israel through accurate database administration and operational support.

As the country’s leading social welfare and education nonprofit, WIZO serves over 70,000 people every day through hundreds of programs and facilities. From youth villages and schools that empower at-risk children, to shelters for women escaping domestic violence, and specialized programs for families of reservists, WIZO delivers critical services to people of all ages, denominations, and backgrounds throughout Israel.
Responsibilities:
Database Administration
- Enter and review data in Raiser’s Edge donor database, ensuring accuracy:
- Create and update constituent records
- Record donations and pledges utilizing appropriate coding
- Generate donor acknowledgement letters and gift receipts for cash and in-kind contributions within the required timeframe
- Generate quarterly pledge mailings
- Maximize the functionality of the donor database by identifying and implementing best practices to most effectively manage donor data
- Produce weekly gift and pledge reports for Board and Staff
- Create queries, exports, and customized reports for development, marketing, accounting, and audit purposes
- Support Events and fundraising activities through the creation of donation forms, events, event registration pages, registration management, and seating charts in Raisers Edge
- Maintain the accuracy, consistency, and integrity of donor records through ongoing data hygiene practices, including duplicate management, record audits, address updates, and data standardization
Operations & Finance
- Coordinate daily office operations, including maintaining office supplies, coordinating deliveries and returns, and managing phone inquiries
- Maintain and organize digital files and documentation via SharePoint
- Coordinate vendor management and work with IT on computer hardware and software issues
- Administer vendor invoices and payments
- Make regular bank deposits and ensure accurate financial record-keeping
- Assist in the collection of records for the annual audit
Other
- Provide special events and clerical support as needed
- Other tasks as directed by the USA Associate Director and the USA Executive Director
- Report to the USA Associate Director
- This is a full-time, in-person position. Some nights and weekends will be required with advance notice

You have:
- Bachelor’s Degree
- 4-5 Years of relevant experience, 2 years of bookkeeping or data entry experience preferred
- Experience working with Blackbaud Raiser’s Edge (or equivalent CRM or non-profit database)
- Proficiency in Microsoft Excel
- Strong organizational skills
- Experience with accounts payable preferred
- Excellent attention to detail and accuracy
- Ability to work collaboratively in a team environment

Compensation:
Up to $65,000 annually, commensurate with experience
