Administrative Assistant / Front Desk Receptionist — Mann Family Early Childhood Center

Full-Time | Early Childhood Center Campus

Mann Family Early Childhood Center is seeking a highly organized, proactive, and warm Administrative Assistant/Front Desk Receptionist. This is a dynamic, fast-paced role at the heart of our campus operations, ideal for someone who loves working with families and educators, thrives on multitasking, and enjoys keeping a bustling school environment running smoothly.

As a key member of our administrative team, you will support the administrative staff, coordinate communication across the campus, maintain essential school systems, and help ensure our school remains a welcoming and well-organized space for children, families, and staff.

Responsibilities:

Front Office & Administrative Management

  • Serve as the primary contact for families, staff, and visitors.
  • Keep student files, forms, and documentation organized and up to date.
  • Oversee office supplies, inventory, vendors, mail, and deliveries.
  • Submit and track maintenance and IT requests.
  • Maintain a clean, safe, welcoming office environment.

School Operations

  • Support enrollment management and track tour sign-ups.
  • Send school-wide announcements, newsletters, reminders, and health notices.
  • Assist with school events, enrichment programs, family programs, and scheduling.
  • Maintain rosters, emergency binders, allergy lists, snack lists, and data systems.
  • Manage room reservations and coordinate with support teams (facilities team, IT, AV, events personnel).
  • Track student lunch lists and communicate daily updates to the chef and relevant staff.

Student Health & Safety

  • Provide minor first aid and communicate with parents about injuries or illness.
  • Assist with injury and illness report documentation and maintain logs.
  • Ensure emergency cards, authorized pick-up lists, and safety records are current.

Family Communication

  • Provide timely, professional communication to all families.
  • Support extended care programs and On the Fly sign-ups.
  • Respond promptly to parent emails and requests.

Staff Support

  • Help coordinate staff meetings, professional development sessions, and communications.
  • Provide organizational and technical support to teachers.
  • Assist with scheduling, coverage, and day-to-day staff needs.

Qualifications:

  • Exceptional organizational, multitasking, and time-management skills.
  • Warm, professional communication with families, staff, and children.
  • Ability to maintain confidentiality and exercise sound judgement.
  • Tech-savvy; proficient with Google Workspace.
  • Quick learner with strong initiative and the ability to anticipate needs.
  • Strong memory for names and faces.
  • Experience in early childhood education settings preferred.
