Overview:

Westchester Jewish Community Services (WJCS), a nonsectarian nonprofit founded in 1943, has grown to be the largest provider of licensed outpatient community mental health services and one of the largest human service agencies in Westchester County. We provide state-of-the-art programs and services and compassionate care to more than 20,000 people of all ages and backgrounds each year.

We are currently seeking a dedicated and detail-oriented full-time Senior Clinic Secretary to join the Mt. Vernon Certified Community Behavioral Health Clinic (CCBHC) team. The Senior Clinic Secretary plays a key role in supporting the smooth day-to-day operations of the clinic by providing administrative support and supervising support staff. The salary for this full-time position is $50,000.

Responsibilities:

As a valued member of our team, your responsibilities will include, but are not limited to:

  • Supervising clinic support staff and completing their annual performance evaluations.
  • Running daily and weekly reports to support clinic operations.
  • Preparing confidential correspondence, reports, charts, and other documentation.
  • Providing front desk coverage as needed, including greeting visitors and checking in clients.
  • Scheduling and confirming client appointments and notifying clinicians of client arrivals.
  • Verifying insurance information and coordinating updates with admissions staff when needed.
  • Preparing, organizing, and maintaining patient charts, including intake paperwork for new clients.
  • Coordinating medical record requests and maintaining accurate files.
  • Ordering office supplies and supporting overall clinic operations, including opening, screening, and distributing mail.
  • Assisting with meetings, preparing materials, and providing general administrative support.
  • Collecting fees, issuing receipts, preparing financial transmittals, and tracking non-payments.
  • Conducting safety drills and assisting with administrative compliance tasks.
  • Operating standard office equipment and managing general office communications (phones, messages, etc.).

Requirements:

We are seeking candidates who possess the following qualifications:

  • A high school or GED and four years of relevant experience, or an Associates Degree in a relevant field, or graduated from an accredited secretarial or business school and two years of experience, or a satisfactory equivalent combination of education and experience.
  • Ability to develop and maintain effective working relationships with supervisors, program directors, other employees and clients, including the ability to respond with empathy to client needs and concerns.
  • Bilingual English/Spanish preferred.
  • Exceptional communication and interpersonal skills.
  • Strong data entry skills and experience with electronic medical record systems, or demonstrated ability to quickly learn new systems.
