Position Summary

The Part-Time Executive Assistant provides professional, organized, and responsive administrative support to the CEO Emeritus. This role will help ensure the smooth coordination of day-to-day activities by managing communications, scheduling, correspondence, and general office needs. The ideal candidate is personable, discreet, detail-oriented, and comfortable working independently.

Key Responsibilities

  • Answer and appropriately direct incoming phone calls, take messages, and follow up as needed.
  • Manage and coordinate the CEO Emeritus’s calendar, including scheduling meetings, appointments, and calls.
  • Draft, proofread, format, and distribute letters, correspondence, and other materials on behalf of the CEO Emeritus.
  • Maintain organized electronic and paper files, records, and contact information.
  • Provide general office and administrative support, including preparing materials for meetings and assisting with routine projects.
  • Serve as a professional and courteous liaison with UJA colleagues, lay leaders, community members, and external contacts.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support occasional events, meetings, or initiatives connected to the CEO Emeritus’s work, as needed.

Qualifications

  • Prior administrative, executive assistant, office support, or related experience required.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Professional phone manner and interpersonal skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Ability to manage multiple priorities, follow through on tasks, and work independently.
  • Sound judgment and the ability to maintain confidentiality.
  • Interest in and appreciation for UJA-Federation of New York’s mission and work.

Position Details/Salary Information:

This is a part-time position, with the individual expected to work three days per week (approximately 21 hours per week). The annual salary range is $60,000–$65,000, prorated to reflect the part-time schedule.
