Position Summary

UJA is seeking a passionate, organized, and detail-oriented Marketing Specialist to join our Marketing department. Reporting to the Marketing Director, the Marketing Specialist is responsible for coordinating integrated marketing projects. The role manages project timelines, coordinates deliverables across internal teams, and supports the execution of multi-channel marketing campaigns, ensuring projects are delivered accurately, efficiently, and on schedule.

In addition to supporting assigned business portfolios, this role serves as a central resource for marketing administration, maintaining documentation, coordinating administrative processes, and ensuring marketing information is accurate, organized, and up to date.

Working closely with Marketing Managers, internal stakeholders, and cross-functional partners, the Marketing Specialist helps strengthen the marketing effectiveness by supporting consistent processes, enabling efficient project delivery, and contributing to high-quality marketing initiatives.

Key Responsibilities

  • Project Coordination & Execution
    • Support the execution and coordination of events and integrated marketing initiatives developed and led by Marketing Managers, ensuring accurate and timely delivery across all channels, including email, direct mail, SMS, digital, social, and web
    • Develop and maintain campaign schedules and workbacks, and ensure all project details are captured in our project management tool, to ensure projects are delivered on time
    • Proactively communicate project status, timelines, risks, and changes to stakeholders, ensuring alignment and visibility throughout the project lifecycle
    • Coordinate campaign deliverables, approvals, and assets across internal teams and external partners
    Data, Reporting & Quality Assurance
    • Support campaign reporting by compiling results, tracking performance metrics, and preparing post-campaign summaries
    • Maintain campaign documentation, reporting files, and dashboards
    Marketing Administration
    • Maintain marketing documentation, templates, and administrative records to support efficient project delivery
    • Coordinate administrative processes, ensuring marketing systems, tools, and information remain accurate, organized, and up to date
    • Support the coordination of vendor administration, invoices, and other departmental administrative requirements as needed
    • Assists with maintaining departmental calendars, scheduling meetings, and coordinating other administrative activities to support the team
    Qualifications
    • Bachelor's degree in Marketing, Communications, Business, or related field
    • 2-4+ years of experience in marketing, campaign coordination, or project coordination
    • Experience supporting integrated, multi-channel marketing campaigns, ideally in a nonprofit or mission-driven organization
    • Ability to manage multiple projects simultaneously and work effectively in a fast-paced environment
    • Strong organizational and project management skills with exceptional attention to detail
    • Strong communication and collaboration skills, with the ability to work effectively across multiple teams
    • Analytical mindset with interest in campaign performance, reporting, and optimization

This is a full-time permanent position. Union Level 4. Salary range: $62,00-$67,000 annually, based on experience. At UJA we support a flexible work schedule and all of our employees engage in hybrid work. In addition to a rich time off policy, UJA’s offices are closed on all Jewish holy days (yom tov) and we support early office closures to observe the Jewish Sabbath (Shabbat).
