About this Opportunity
The Accounting Liaison – External Agencies serves as the primary financial contact between the organization and external partner agencies. This role is responsible for ensuring accurate financial reporting, timely reconciliation of accounts, effective communication regarding funding and payments, and compliance with organizational policies and accounting standards. The position supports collaborative financial management and strengthens relationships with external stakeholders through responsive and professional service.
Key Responsibilities
Financial Coordination & Support
- Act as the primary accounting contact for assigned external agencies and partners.
- Review, process, and reconcile financial transactions related to external agencies, including invoices, funding allocations, reimbursements, and payments.
- Assist agencies with understanding financial procedures, reporting requirements, and payment timelines.
- Coordinate collection and review of financial documentation and supporting records.
Reporting & Reconciliation
- Maintain accurate financial records for agency-related accounts.
- Reconcile agency balances, funding schedules, and outstanding transactions on a regular basis.
- Support month-end and year-end closing processes related to external agency accounts.
- Generate financial reports, summaries, and analyses for management and stakeholders.
Compliance & Controls
- Ensure all financial activities comply with organizational policies, accounting standards, and funding agreements.
- Monitor adherence to contractual and reporting obligations.
- Assist with audits by preparing required documentation and responding to inquiries related to agency accounts.
- Identify discrepancies and recommend corrective actions where necessary.
Relationship Management
- Build positive working relationships with external agencies and internal departments.
- Respond promptly to inquiries related to payments, budgets, and financial reporting.
- Collaborate with finance staff to resolve issues and improve processes.
Administrative & Process Improvement
- Maintain organized records and documentation related to agency financial activities.
- Recommend and support improvements to accounting workflows and reporting systems.
Participate in special projects and other finance-related duties as assigned.
Qualifications
- Minimum 2–4 years of accounting or financial coordination experience.
- Experience working with external stakeholders, agencies, or nonprofit organizations is an asset.
- Knowledge of accounting principles and financial reconciliation processes.
- Proficiency in Microsoft Excel and accounting software systems.
- Strong organizational skills with high attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
*This is a full-time permanent position. Union Level 3. Salary range: $60,00-$65,000 annually, based on experience. At UJA we support a flexible work schedule and all of our employees engage in hybrid work. In addition to a rich time off policy, UJA’s offices are closed on all Jewish holy days (yom tov) and we support early office closures to observe the Jewish Sabbath (Shabbat).
