About the Role
The JHub Coordinator
performs organizational and administrative duties in support of JHub’s programming efforts and organizational needs. This role reports to the Vice President, Program Strategy & Management and provides support to various teams across the organization.
Event and Meeting Coordination
- Support the JHub programming teams to ensure exceptional execution of programs, events, and meetings:
- Maintain and regularly update list of all JHub programs and events
- Assist with pre-event logistics and coordination including arranging conference rooms, catering, presentation materials, handouts, nametags, event supplies, audio/visual setup, etc.
- Assist with program registrations in Salesforce and Form Assembly
- Attend events and assist with on-site logistics as needed.
- Coordinate details of large internal and external staff and Board of Directors meetings. Attend Board meetings and take meeting minutes.
- Assist with internal team-building efforts including organizing team culture-building activities and maintaining staff information screens/communication
Administration
- Support the team on various administrative needs including supply ordering, invoice management, cheque requisitions, payment processing, Docusign preparation, expense reimbursements, credit card reconciliation, event registration, credit card processing, etc.
Qualifications
- Minimum 2-4 years of experience providing program/event support or direct administrative support to organizations and executives
- Exceptional organizational skills and attention to detail
- Unflappable with a positive attitude. Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously
- Self-motivated and proactive
- Available to work occasional evenings and weekends, where needed, for events
- Comprehensive knowledge of core software applications and ability to learn new technology quickly is required. Previous experience with Salesforce or another CRM preferred.
- Outstanding planning, written and verbal communication skills
- Must be able to work both independently and as an integral member of various teams, highly adaptive to management styles and changing needs, reprioritizing tasks and projects as needed
- Interest in and enthusiasm for the nonprofit sector
- Commitment to strong performance, high standard of accountability, and openness to feedback
- Must be comfortable working in a fast-paced environment and calm under pressure
*This is a full-time permanent position, Union Level 2. Salary Range: $53,000–$63,000 annually, based on experience.
