About the Opportunity
The Human Resources team is seeking a motivated, passionate and detail-oriented Payroll Specialist to process payroll, administer benefit programs and support on full range of HR programs and initiatives. In this role you will work closely with the HR team to deliver state of the art programs and support the continued evolution of UJA’s culture. You will be responsible for providing daily administrative and project support in Orientation, data management, health and wellness, benefits + payroll and more.
Responsibilities include, but are not limited to:
PAYROLL OPERATIONS
- Administer full-cycle bi-weekly payroll across two entities in partnership with our payroll vendor (ADP), ensuring accuracy and compliance with applicable policies and regulations
- Prepare, verify, and process all employee payments, including regular pay, benefits, time-off entitlements, and off-cycle adjustments
- Maintain employee records and payroll changes in ADP, ensuring data integrity and proper entity separation at all times
- Partner with the Finance team to deliver payroll reconciliation and General Ledger (GL) reports, supporting accurate cost allocation and timely month-end and year-end financial close; Assist with internal and external payroll audits.
- Support payroll-related filings and statutory documentation, including Records of Employment (ROEs), year-end T4 statements, and other required remittances
- Collaborate with ADP to identify and implement system enhancements that meet evolving business needs
BENEFITS & PENSION
- Process benefits and pension enrollments, changes, and terminations with the respective plan providers
- Support pension plan administration, including year-end adjustments and the annual audit process in collaboration with the pension vendor
HR OPERATIONS
- Provide day-to-day HR operational support, including maintaining employee data in BambooHR and ADP, responding to employee inquiries, and contributing to HR programs and initiatives
- Track and maintain vacation and leave records, providing regular reports to the HR team
- Compile quarterly People Analytics data to support HR dashboard reporting
Qualifications:
- Post-secondary education in Finance, Accounting, Payroll, Human Resources or related field, or equivalent experience
- 3-5 years’ relevant work experience
- Passionate advocate and visible champion of UJA’s mission, values, and goals, inspiring others through action and unwavering commitment to advancing our shared purpose.
- Strong understanding of full-cycle payroll processes
- Experience conducting payroll in a unionized environment
- Proficient with ADP Workforce Now and/or other payroll systems
- Working knowledge of the Employment Standards Act and other relevant legislation
- Strong Excel skills
- PCP or other payroll designation an asset
- Proactive with excellent organizational, prioritizing and time-management skills
- Highly detail-oriented with a strong sense for accuracy
- Maintain a high degree of discretion and confidentiality
*This is a full-time position. Salary Range: $65,000–$75,000 annually, based on experience. At UJA we support a flexible work schedule and all of our employees engage in hybrid work.
