About the Opportunity

UJA Federation of Greater Toronto is looking for a Team Coordinator to provide a variety of administrative support services to the Community Capacity Building, Jewish Engagement team, supporting the following portfolios: Emerging Communities, Arts and Culture, Camps, Day Schools, Part-Time Schools, Early Childhood, Sports Engagement, Public Schools.

Responsibilities include, but are not limited to:

Administrative Duties:

  • Coordinate internal team meetings, including liaising with speakers and organizing agendas, catering, room bookings, registration and other duties to support meetings
  • Coordinate lay committee meetings, including sending Doodle polls, calendar invites, tracking RSVP’s, creating Zoom links, sharing agendas, catering, room bookings, and other duties to support external meetings
  • Coordinate the submission and administration of the Board of License and Review
  • Take minutes at meetings, prepare minutes, and follow up on action items
  • Update Salesforce with lay leader information

  • Update partner lists and contact lists and share with UJA internal teams
  • Support team events with registration, set-up and attendance
  • Staff support for programs and events
  • Manage monthly order of office supplies

Expenses and Accounting Duties:


  • Submit regular invoices to Microix
  • Compile USD invoices / requisitions
  • Manage payments for vendors and agencies

Grant and Contract Related Duties:

  • Manage DocuSign preparations

  • Send out DocuSign grant letters and emails and tracking responses
  • Send out grant letters/grant forms
  • Summer camp programs and grants
  • Send and receive speaker contracts
  • Contracts / documents (annual and project grants)

  • Send Affiliation and compliance documents and related DocuSigns

Qualifications

  • Completion of post-secondary school
  • Minimum of 2 years’ experience in a coordination and senior administrative role
  • Advanced technical skills to support use of Outlook, Microsoft Office Suite & web-based meeting and education methods
  • Passionate advocate and visible champion of UJA’s mission, values, and goals, inspiring others through action and unwavering commitment to advancing our shared purpose.
  • Excellent organizational and time management skills – ability to work independently to meet timelines and priorities
  • Strong interpersonal and client relationship skills – ability to work with a diverse group of professionals
  • Excellent written and verbal communication skills
  • Excellent attention to detail
  • Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment

*This is a full-time permanent position, Union Level 2.
