Overview
The Physical Therapy Program is actively seeking a part-time Administrative Assistant to provide administrative and operational support three days per week. This position will assist the Chair and Director with the administrative coordination and smooth functioning of the program while providing excellent administrative support to faculty, staff, and students.
Responsibilities
Responsibilities include but are not limited to:
- Answer phone, respond to emails, schedule appointments and meetings, file, and prepare correspondence for the Director and Chair
- Assist faculty by answering questions, locating information and materials, typing, collating, photocopying, and assisting with other documents as required
- Maintain office files and records, both physical and digital
- Complete purchasing requisitions, check requests, and other forms and coordinate with Purchasing to add new vendors as needed
- Enter names and emails into the security system for events
- Process reimbursements for faculty expenses and for approved student expenses
- Submit room reservation requests for events outside of the regularly scheduled semester events and classes
- Unpack packages and store in office supply or equipment closet as appropriate
- Keep the Doctor of Physical Therapy (DPT) Program's hub on Canvas updated with the latest schedules and booklists
- Distribute and collect course assessments for teaching assistants and guest speakers
- Coordinate the peer evaluation process with the faculty
- Communicate with registrar regarding student registration, graduation, leave of absence, etc as needed
- In conjunction with the full-time administrative assistants, assist with the planning, set up, and break down of department functions including room requests, overseeing room set up and logistics, and food ordering, delivery, and removal
- Assist at graduation and special events
- Organize schedule of proctors for all semester exams
- Assist in the proctoring of exams, as needed
- Assist full-time administrative assistants with onboarding and processing of payments for adjuncts and lab assistants, as delegated by the Director
- Other duties as assigned
Qualifications
Education/Experience
- - Minimum one year experience as an Administrative Assistant or related experience. - College degree ( AAS or BS) preferred.
Knowledge/Skills/Abilities
- General Administrative Duties.
- Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook.
- Accuracy and productivity in completing tasks.
- Demonstrated ability to develop positive and cooperative relationships with students, faculty and colleagues.
- Demonstrated proficiency in communication (written and verbal).
- Strong interpersonal skills, both written and oral.
- Ability to manage multiple and varied tasks.
- Ability to independently anticipate and take initiative on recurring tasks and responsibilities that occur regularly at certain times of the year (ex: in preparation for an upcoming semester or for graduation etc.).
- Ability to work collaboratively and effectively with colleagues in a team environment.
- Ability to learn and effectively navigate multiple software systems for purchasing, generating personnel forms, and other administrative functions..
Travel
- Travel may be required infrequently for special events (i.e. graduation, etc.).
Working Conditions
- - Extensive time sitting and working at a computer. - Occasional lifting (up to 15 lbs) for some packages or equipment.
Maximum Salary
USD $26.00/Hr.
Minimum Salary
USD $21.00/Hr.
