Overview
The Executive Assistant to the Dean of Touro Law Center is responsible for the smooth operation of the Dean's Office in its activities and supports the overall operation of the Touro Law Center.
Responsibilities
- Works directly with the Dean on a wide range of administrative tasks.
- Provides administrative and secretarial support to the Dean including: sorting mail, preparing letters for signature, answering phones, and other tasks as assigned by the Dean.
- Completes research projects and prepares reports for the Dean.
- Maintains daily calendars for the Dean including scheduling appointments.
- Makes arrangements for conferences and travel for the Dean including: registration, hotel, airline/train/car arrangements, reimbursement requests.
- Maintains records and files for all work performed for the Dean.
- Maintains updated files on all senior administrators, faculty and adjuncts.
- Understands the Dean's activities and workload and assists the Dean in tracking and making progress on those activities and helps support those activities.
- Responsible for ordering office supplies, completing requisitions as part of the purchase order system, and coordinating catering requests for the Dean's Suite.
- Responsible to work with all departments at the Law Center and with the Touro University System on Dean-related matters.
- Troubleshoots and resolves administrative issues.
- Performs other duties and completes projects as assigned.
Qualifications
Education/Experience:
- Bachelor's Degree preferred.
- Minimum of 3-5 years of experience in an executive-level office setting.
Knowledge/Skills/Abilities:
- Demonstrated project management experience.
- Highly energetic, organized and efficient with a “get things done” attitude.
- Fast yet a detail-oriented and accurate worker.
- Able to anticipate the Dean's scheduling and logistical needs.
- Entirely dependable: timely completion of tasks assigned; maintains communication with the Dean; knows when to raise issues requiring the Dean's guidance or intervention.
- Discreet with the ability to keep sensitive information confidential.
- Ability to problem solve and exhibit a positive attitude.
- Strong verbal, written, and interpersonal communication skills with the ability to work effectively with people at all levels.
- Outstanding ability to manage multiple priorities.
- Expert knowledge of Work, Excel, PowerPoint, a variety of Internet search engines.
- PC expertise required.
- Ability to learn new computer programs/apps quickly.
Working Conditions:
- Extensive time sitting and working on the computer.
Maximum Salary
USD $65,650.00/Yr.
Minimum Salary
USD $52,520.00/Yr.
