Overview

The Hiring and Onboarding Coordinator provides support to all operational aspects of the Touro University employment process. This role is key to the Human Resources operation and the effective integration of HR value-added services with the administrative and academic departments of the University. This position supports both administrative and academic hiring processes.

Following the decision from a hiring manager to extend an offer of employment the Hiring and Onboarding Coordinator is responsible for the day-to-day administration of the new hire pre-employment onboarding process, including, but not limited to, offer letter administration, background checks, I-9 verification, and placement on payroll. The Hiring and Onboarding Coordinator serves as the primary point of contact for hiring managers and new hires throughout the hiring and onboarding process ensuring required steps are completed in an accurate and timely manner.

While the focus is on the overall operations of talent acquisition, the role may also support creation of talent management programs at the direction of the Manager such as employee development and retention programs. Other HR administrative responsibilities and projects may be assigned as well.

Responsibilities

Responsibilities include but are not limited to:

  • Primary point of contact for hiring managers in the recruitment, hiring, and onboarding processes.
  • Provide operational support for all positions including job posting, external advertising/posting, and offer letter administration.
  • Ensure integrity and compliance for all pre-employment processes including background checks, I-9 verification, and onboarding.
  • Coordinate the timely and accurate completion of required new hire reporting to applicable state agencies, in accordance with federal, state, and local requirements.
  • Assist candidates and managers in utilizing the Applicant Tracking System (ATS) and background check system.
  • Create, support, and develop new hire programs and ensure a positive employee experience. May actively manage full-cycle recruitment for specified open jobs.
  • Support academic hiring processes and search committees as needed.
  • Assist in the management of cost-effective relationships with agencies to assist managers in filling temporary and contingent positions.
  • Work closely with HR staff in other regions to share operational best practices.
  • Provide assistance on critical needs and coordinate on national-level initiatives.
  • Participate in or lead high visibility HR process/technology improvement projects related to the New Hire/Onboarding process.
  • Updating HRIS systems to reflect accurate information of employee profiles such as timesheet approvers, employee contact information, etc.
  • Assist clients on the origination and submission of Electronic Personnel Action Forms (EPAFs) as needed.
  • Review, approve, and apply EPAFs as needed.
  • Other HR administrative responsibilities and projects as assigned.

Qualifications

Education/Experience

  • Bachelor's Degree or equivalent (2+ years) of work-related experience.

Knowledge/Skills/Abilities

  • Exceptional organizational, analytical, problem-solving, and collaboration skills with a strong attention to detail.
  • Demonstrated proficiency in communication (written and verbal).
  • Demonstrated ability to manage multiple priorities, deadlines, and processes simultaneously.
  • Ability to exercise sound judgment, maintain confidentiality, and demonstrate ethical decision-making when handling sensitive employee and candidate information.
  • Overall business acumen, and relationship management skills.
  • Experience with hiring operations and use of Applicant Tracking Systems is a plus.
  • Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook
  • Experience in HR systems and technology (including Banner) is a plus.

Maximum Salary

USD $53,043.00/Yr.

Minimum Salary

USD $42,434.00/Yr.
