Overview
The Administrative Assistant is responsible for initiating and coordinating administrative and organizational functions in support of the Preclinical Dean as required for the effective operation of the Preclinical Departments.
Responsibilities
The administrative assistant is responsible for managing the administrative activities of the Preclinical Dean to include, but not limited to the following:
- Maintains communications, including telephone, text, and email
- Maintains the calendar of events and responsibilities
- Establishes and maintains recordkeeping systems
- Schedules meetings with Students, Faculty, & Chairs
- Prepares meeting documents; records, files and distributes minutes
- Assists in scheduling annual FDEP, and files forms
- Assists in scheduling EDP, and files forms
- Schedules student interviews regarding Early Warning, COMBANK compliance, missing requirements, U grade related Provisional Status, COMSAE and COMLEX prep, Leave of Absence and any concern
- Files and distributes reports of student surveys
- Assists in collecting and filing departmental course reports
- Assists in collecting and filing exam item reviews
- Assists in processing faculty and staff hiring forms
- Assists in processing faculty and staff departmental timesheets
- Edits correspondence for the Preclinical Dean
- Coordinates correspondence with professional organizations
- Assists in preparing budget review and recommendations
- Other duties as assigned by the Dean, Executive Assistant to the Dean, & Preclinical Dean
Qualifications
Education/Experience
- Bachelor’s degree (B.A. or B.S.) required
- Bachelor's degree or equivalent experience (1-3 years administrative experience) preferred
Knowledge/Skills/Abilities
- Strong organizational skills
- Ability to focus on priority tasks
- Professional management and communication skills
- Proficiency in Microsoft Office Suite including Word, Excel, Power Point, & Outlook
Working Conditions
- Able to lift up to 5 lbs.
Maximum Salary
USD $55,000.00/Yr.
Minimum Salary
USD $44,000.00/Yr.
