The Vilna Shul: Boston’s Center for Jewish Culture, located on historic Beacon Hill, is the last-remaining immigrant era synagogue building in Boston and now serves as an urban center for arts, culture, and Jewish life.

As the Director of Operations and Finance, you will be responsible for the administration of The Vilna’s budget and finance, daily operations and facilities, IT and business processes, and HR. You will be a member of a highly collaborative staff team of six. You’re a creative problem solver with experience and knowledge in financial management and developing and managing smart and efficient systems. You will report to the Executive Director and supervise the Operations Coordinator.

Responsibilities

Budget and Finance (40%)

  • Advance systems for financial management, including forecasting and monthly reports
  • Partner with Treasurer to ensure board is well-informed about organization’s financial affairs
  • Liaise with bookkeeper to manage payroll, accounts payable and receivable, and reporting
  • Liaise with auditors to prepare information for annual audit and tax filing
  • Direct annual budgeting process
  • Oversee the management of checking, savings, and capital project funds
  • Ensure compliance with financial controls and policies and update where necessary

Business Operations and Facilities (40%)

  • Oversee day-to-day operations, including safety and security, IT, and building maintenance
  • Provide facilities management, including planning and oversight of capital projects
  • Maintain vendor relationships with outsourced companies (IT services, internet and phone, security, and property management)
  • Be proactive in researching and recommending business solutions to growing operational needs
  • Develop creative, effective strategies to source data to inform measurement and evaluation
  • Oversee and manage the organization's IT software, CRM tools and business services (Constant Contact, Donor View, Survey Monkey, Google Drive, OneDrive, Zoom, etc.)
  • Staff liaison for relevant board committees (Facilities, Security & IT; Budget & Finance; Audit)

Human Resources (20%)

  • Manage and prepare semi-monthly payroll
  • Manage employee benefits administration
  • Oversee hiring processes, employee onboarding, training, and performance management
  • Maintain and update HR policies, ensuring compliance with applicable employment laws

Experience

  • 8 years of relevant experience managing people, financial systems; property management; business operations; and human resources
  • Bachelor’s degree required; MBA or other relevant graduate degree preferred
  • Knowledge of and experience with Microsoft Office; Quickbooks, CRM systems
  • Demonstrated track record in change management, experience developing and implementing strategies that have taken an organization to the next stage of growth

This is a full-time, exempt position reporting to the Executive Director.
