College Counseling Office Associate

To Begin May/Early June 2025

The Leffell School is a cutting-edge K–12 Jewish independent school serving more than 850 students on two campuses in Westchester County, NY, 30 minutes north of New York City. We are seeking a College Counseling Office Associate who can begin in May/Early June 2025.

Position Overview:

Reporting to the Co-Directors of College Counseling, the College Office Associate will be tasked with the day-to-day operation of the College Counseling office, including registrar responsibilities, administrative tasks, and (most importantly) interactions on a daily basis with our students, parents, and the vast network of regional admission officers. Outstanding communication skills, facility with technology and online resources, an upbeat attitude, ability to multitask, a love of working with teens and their parents, a camaraderie with our faculty and colleagues in admissions, and an overall zest for embracing both the big and small tasks associated with this position are key.

Responsibilities:

  • Manage fall college visits with admission representatives

  • Maintain updated library of resources in the College Counseling office

  • Handle the mail/phones/messages for the department

  • Work on a daily basis with our two online platforms for college guidance—Maia Learning and College Kickstart—and upload transcripts/letters of recommendation/standardized testing/outside materials

  • Handle all transcript requests for current students and alumni

  • Send all e-documents required for student applications including mid-year/ end-of-year reports on behalf of seniors to colleges and scholarship programs

  • Follow up with colleges and programs to ensure completion of student files

  • Manage and regularly update organizational materials

  • Manage College Counseling calendars (College counseling office and of Co-Directors)

  • Manage teacher letter of recommendation collection and form dissemination

  • Actively manage planning and communication related to seminars, evening programs, and special events

  • Organize and manage office space, outer tv-screen and outside bulletin board

  • Collect and compile student data for various reports and annual school profile

  • Contribute to the management of a well-run office with its requisite administrative needs

  • Advanced Placement Testing Coordinator duties:

    • Enroll AP students in their class or exam only sections

    • Order AP examinations through College Board

    • Communicate AP testing procedures with various offices

    • Coordinate AP exam schedules for students and assign proctors for each exam

  • Other duties as assigned by the Co-Directors or Head of School.

Qualifications:

  • Ability to work in a fast-paced, high-stress environment

  • Possess the empathy, patience and understanding necessary to help students and families

  • Excellent detail orientation with emphasis on accuracy and quality

  • Exceptional verbal and written communication skills

  • Ability to prioritize work to balance multiple projects and deadlines

  • Ability to learn multiple platforms used for data management, record keeping, and scheduling

  • Google Suite proficiency

  • Highly organized

  • Ability to protect confidentiality of student information

Compensation and Benefits:

• Pay Rate: $57,000-$67,000

• Benefits: Generous paid time off, including personal and vacation days, holidays, and reduced work hours during the summer. Health benefits include medical, dental, vision, disability, and FSAs. Others include a retirement saving plan (403b) and wellness benefits.
