The salary range for this role is $52,000-$55,000.

What you’ll be responsible for:

You will be responsible for assisting in the distribution of over $140 million in grants each year by performing duties critical to the success of the Center for Jewish Philanthropy. Through the detailed administration of the supporting foundation program and other general support responsibilities, you will support eight professional staff members and frequently engage with high-level donors and grantees. To be successful in this role, you will need to have prior experience providing administrative support to a team, a desire to learn about the grant process at a nonprofit, and the ability to quickly learn new software systems.

What you’ll be doing:

  • Collecting, managing, and distributing foundation board governance materials and other legal documents.
  • Engaging directly with high-level community stakeholders to coordinate meetings and manage administration for all foundations.
  • Administering foundation grantmaking deliverables, managing timelines for grant reports, ensuring deadlines are met, and overseeing the process and accuracy for all checks and related correspondence.
  • Playing a crucial role in the team’s Laserfiche archive initiative, which will capture, archive, and organize legacy departmental data.
  • Assisting in the development and documentation of various detailed processes important to the success of the team (e.g. board tax return review, annual report filings, etc.)
  • Updating contact details in Dream and reviewing L&E database, Stellar, for accuracy.
  • Supporting JUF Campaign and mandatory campaign-related activities on an ongoing basis.

What you need to succeed:

  • High School Diploma required, Associate or Bachelor’s degree preferred.
  • Minimum 2 years of administrative experience.
  • Bookkeeping, accounting, or non-profit experience preferred.
  • Proficiency in Microsoft Office (specifically Word and Excel).
  • Ability to learn Salesforce, JUF’s database system.
  • Must be organized and possess strong professional, interpersonal, and written and oral communication skills.
  • Strong organizational skills with a keen eye for detail.

Our Hybrid Schedule:

We have a hybrid work policy to allow staff the flexibility to work from home / remotely on Mondays and Fridays. Tuesdays-Thursdays, the standard work location is 30 South Wells Street in Chicago, and staff are expected to work in person. We have a 36.5 hour work week, not a 40 hour work week. Our work hours are 8:30am-5pm Monday-Thursday and 8:30am-4pm Friday with a daily 1 hour lunch break.
