Job Description
The Accounts Payable (AP) Associate ensures the efficient operation of JFNA’s financial system by managing cash flow and paying vendors and suppliers on a timely basis and in accordance with internal protocols and procedures. We are searching for a skilled associate to join our team to process, track, and record payments in an accurate, efficient, and timely manner.
Responsibilities
- Review invoices for appropriate documentation prior to payment
- Analyze expense reports and other invoices for accuracy and eligibility for payment
- Perform invoice and general-ledger data entry
- Reconcile vendor statements and other financial documents to ensure accuracy and detect discrepancies, inconsistencies, and duplications.
- Act as a point of contact for vendors, confirming payment information, responding to inquiries and resolving payment-related issues
- Execute credit card and bank account reconciliation
- Review and process staff expense reimbursements
- Ensure
sproper recordkeeping of purchases for use in tax preparation and periodic audits - Ensure proper maintenance, filing, and storage of records in accordance with proper accounting standards
- Liase with internal departments to gather necessary data for invoice processing and payment approvals
- Prepare and file annual 1099s
- Apply and renew state tax exemptions
- Ensure all accounts payable activities adhere to JFNA’s policies and relevant national and local financial regulations
- Assist in onboarding new staff to the accounts payable, credit card, and reimbursement process.
- Assist in streamlining and improving the accounts payable process
- Exercise integrity and confidentiality in financial reporting
- Assist finance / accounting team members as needed
Requirements
- Experience with accounting software and Microsoft Office Suite
- Preferred working knowledge of Intacct, Ramp, Salesforce
- Thorough understanding of accounts payable functions
- Excellent organizational skills and attention to detail
- Strong verbal and written skills to effectively communicate with vendors, managers, and internal departments
- Great time management skills to manage multiple tasks, deadlines, and a high volume of invoices
- Bachelor’s degree in Accounting or Business Administration, with at least five years of experience in a similar Accounts Payable role.

Salary Range: $65,000 - $70,000
