SUMMARY:
We’re looking for a detail-oriented and customer service-driven Foundation Operations and Salesforce Administrator who is comfortable in the world of data to support the day-to-day operations of the Jewish Community Foundation and our Salesforce CRM at the Jewish Federation of Greater Seattle. This role focuses on foundation operations, assistance with internal financial record-keeping, compliance, and data management.
You’ll work closely with our Finance Department, our Senior Data Analyst, and the Associate Director of Foundation Operations to ensure smooth operations and excellent service to our donors and advisors.
ESSENTIAL RESPONSIBILITIES:
Foundation Operations & Donor Support (40%):
- Support daily Foundation operations and ensure policies are followed. Involved with Donor-Advised Funds (DAF), Agency Funds, Special-Purpose Funds, Legacy Planning, and Scholarships.
- Efficient and timely processing of fund contributions and grants, ensuring compliance with IRS and legal requirements.
- Manage charitable remainder trust payments.
- Coordinate with the Finance team to ensure accurate financial reporting and documentation.
- Maintain clear and current documentation of all operational procedures.
- Help develop marketing materials and fund reports.
Compliance & Reporting (20%):
- Ensure the Foundation meets legal and regulatory reporting due dates.
- Keep accurate digital and physical records.
- Help with tax documents, donor statements, and IRS/state filings.
- Support the audit process and ensure timely reporting to state and insurance authorities.
Salesforce Administration and Data Analysis (40%)
- Maintain Salesforce users, profiles, and records.
- Create and manage online forms for events and fundraising.
- Analyze data to support decision-making.
- Build and improve workflows for efficiency.
- Troubleshoot database issues.
- Develop and implement reports and dashboards for internal teams.
- Ensure data quality through training, validation rules, and cleanup efforts.
- Integrate external data into Salesforce.
Other Duties
- Perform special projects as needed.

QUALIFICATIONS
Required Qualifications:
- Bachelor’s Degree, or equivalent experience
- 3 years of related experience
- 2+ years of Salesforce experience, Salesforce certification is a plus
- Proficiency in Microsoft Office Suite (Excel in particular), Google Workspace, and comfortable with other technology tools
- Experience with nonprofit organizations a plus

COMPENSATION
- Salary Range: $70,000 – $78,000, commensurate with experience.
- Paid time off and Holidays are as follows: Fifteen (15) vacation days and Five (5) sick days annually, Nine (9) Federal Holidays, and Jewish holidays, which vary from year to year.
- Benefits available include: Medical, dental, vision, short-term and long-term disability, life insurance coverage, 401(k) and 403(b).
- The Federation offers a supplemental leave program to Washington State’s Paid Family & Medical Leave which makes employees’ salaries “whole” for the duration of the leave approved by the state.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to sit, stand, walk, bend, and use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; talk and hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision, peripheral vision, depth perception and the ability to adjust focus is required.
