Who We Are:

The Institute for Jewish Enrichment, founded 15 years ago, is a place where children are co-creators of Judaism. We’ve developed an explosively creative, empathetic, project process to bring children into dialogue with self, peers, and our ancient and ongoing Jewish conversation. The impact is a child who owns their Judaism, is able to think critically and creatively, with skills to collaborate and dialogue respectfully with peers. We operate a four-day/week Field School after school in Hyde Park, Chicago, and offer full days of Jewish enrichment and one-week camps when schools are out. Our programs reflect our belief that there are many ways for families to live and learn Jewishly. More than a school, the Institute embodies an original approach to Jewish children’s learning. We teach our mindset and methodology to educators and communities nationwide and are leaders in the current paradigm shift in Jewish education.

About the Role

Be the heartbeat of a joyful and intentional Jewish children’s learning environment. The Onsite Administrator is a key member of the Institute for Jewish Enrichment (IJE) team, ensuring our Field School runs smoothly every day. You’ll manage systems, coordinate communications, and support families, educators, and children — all while helping grow a powerful model of Jewish children’s learning. This role blends attention to detail with a warm, people-focused approach. One moment you might be updating allergy forms in Airtable; the next, helping a child find a bandage or answering a parent’s question. You’ll support educators with whatever they need—big or small—to help the day run smoothly, and play a key role in our communications and 2 fundraising efforts, including supporting mailings, helping with newsletters via Mailchimp, and keeping materials organized and up to date. You’ll be part of a collaborative team where everyone rolls up their sleeves to ensure the success of both the team and each individual. This role reports to the Field School Director, with some responsibilities reporting to the Executive Director. The office is an open space, so patience, understanding, and flexibility are essential.

What You’ll Do

Administrative Support

● Track daily attendance, manage enrollment forms, emergency contact info, and allergy lists ● Maintain school databases for enrollment, create new forms as needed ● Keep school and organizational calendars updated ● Maintain supply inventory and submit shopping lists for approval ● Tidy shared spaces and keep the environment welcoming and functional ● Maintain children and staff birthday list, and coordinate celebrations ● Take inventory and regularly order snacks for children and office supplies. ● Troubleshoot office needs, including items such as IT, wifi, printer.

Communications & Fundraising

● Review, copy edit, and publish all-staff and family communications using Mailchimp and other platforms ● Assist with website content updates and social media coordination ● Prepare fundraising materials with Executive Director ● Maintain donor databases, including entering data into our CRM, tracking donations, generating reports, and supporting donor acknowledgment and follow-up ● Communicate and coordinate with IJE’s transportation provider ● Communicate with our host organization about building logistics (cleaning, closures, events) Family,

Community, and Team Care

● Greet and assist families and serve as a steady, friendly presence ● Respond to parent inquiries in a warm, helpful manner ● Support children with basic needs such as minor injuries or illness 3 ● Partner with the Field School Director to ensure smooth daily operations ● Assist with occasional Sunday programs and Institute-wide events ● Help with special projects and daily educator support tasks ● Stay responsive to emerging needs—flexibility is key in this dynamic environment ●

The Onsite Administrator is expected to be responsive to the evolving needs of the Field School and support the success of daily operations, special projects, and the overall learning environment.

What You Bring

● Exceptionally organized and detail-oriented ● Strong communication skills: knows when to respond and when to ask for help ● Warm and comfortable engagement with children and adults ● Tech-savvy: proficient in Google Suite, Airtable, Canva, and Mailchimp; QuickBooks Online a plus ● Able to juggle multiple tasks in a fast-moving environment ● Clear writing and editing skills ● Professional and dependable: shows up on time, communicates clearly, takes ownership ● Experience in administrative roles, whether professional or volunteer

Physical Requirements This position requires sitting at a desk and using a computer for extended periods, along with occasional movement around the building to support program needs. The role may also involve light lifting (up to 25 lbs.) for event setup and supply organization. Reasonable accommodations will be made to support applicants and employees with disabilities. Work Schedule & Compensation

● Part-time Position, $35,200 ● 80% time ● Onsite hours required: Monday–Thursday, 12–6 PM. Hours may be adjusted occasionally to meet organizational needs, including occasional Fridays. 4 ● This employment is anticipated to start in mid-June 2025 and will be open to annual renewal, pending satisfactory job performance ● Remaining hours can be completed flexibly, including some work from home, coordinated with the team ● Some Sundays required (advance notice given, likely 4/year) ● Benefits include health care contribution, generous paid vacation and leave, and SIMPLE IRA after one year
