The Efshar Project | Denver, Colorado | Hybrid | Full-time

Reports to: Executive Director

Salary: $62,000–$68,000 annually

About The Efshar Project

The Efshar Project strengthens Jewish early childhood education in Colorado by supporting educators, improving program quality, and expanding access for families. We work alongside programs and community partners to build a thriving, sustainable network and share what we learn with communities across the United States.

With an annual budget of approximately $850,000 and a small, collaborative team, we connect direct support for educators and programs with opportunities for broader community impact.

The Opportunity

We are seeking an organized, resourceful operations professional who enjoys building clear systems, coordinating work across people and projects, improving processes, and helping a small organization operate with greater clarity and consistency.

The Manager of Operations and Systems will establish and maintain Efshar’s operating model: the systems, processes, tools, and regular routines that turn organizational priorities into coordinated execution, keep work moving, make progress visible, and bring timely information and decisions to leadership.

This person will help ensure Efshar can answer important operational questions clearly:

  • What are our highest-priority initiatives?

  • Who owns each piece of work?

  • What is on track, what is at risk, and what requires attention?

  • What decisions are needed from leadership?

  • Are our systems helping staff work efficiently and consistently?

  • Are important commitments, deadlines, and follow-up being completed?

The Manager creates organizational visibility and reliable operating systems. Program, development, and other functional leaders remain accountable for the strategy, outcomes, and performance of their respective areas.

This is a hands-on role with meaningful ownership and room to grow. The Manager will work closely with the Executive Director, functional leads, Efshar’s fractional Finance Manager, and external accounting and HR partners.

Efshar also has part-time executive and administrative support focused primarily on Executive Director scheduling, Board administration, meeting logistics, and administrative follow-up. The Manager of Operations and Systems owns the broader organizational systems and workflows in which that administrative work occurs.

Financial responsibilities will transition in phases, with clear expectations, training, and review. Over time, the role may expand based on demonstrated readiness, employee interests, organizational needs, and available resources.

What You Will Do

Operations and Organizational Systems — 45%

  • Establish and maintain Efshar’s organizational operating rhythm, including team workflow meetings, priority reviews, reporting cycles, and operational communications.

  • Maintain clear visibility into organizational priorities, owners, milestones, dependencies, decisions, deadlines, and follow-through.

  • Use Monday.com or other project-management tools to help staffand leadership see what is on track, what is at risk, and what requires attention.

  • Ensure every major organizational initiative has clear ownership, desired outcomes, milestones, and a reliable way to track progress.

  • Follow up on cross-functional commitments and help prevent important work from falling through the cracks.

  • Anticipate operational needs and dependencies and bring the Executive Director concise updates, risks, decisions needed, and recommended solutions.

  • Help the Executive Director manage by exception rather than serving as the organization’s project tracker.

  • Maintain organizational calendars, recurring workflows, standardized procedures, deadlines, and handoffs.

  • Document and improve processes so staff can find information, work efficiently, and sustain consistent practices.

  • Maintain organized contracts, renewal schedules, organizational records, equipment inventories, and shared digital files.

  • Coordinate office supplies, equipment, mail, workspace needs, and relationships with relevant vendors and service providers.

  • Establish reliable processes for organizational meetings and events in partnership with the responsible staff lead and designated administrative support.

  • Manage hiring logistics, onboarding and off boarding, contractor records, and personnel documentation in partnership with the Executive Director and external HR support.

  • Maintain calendars and systems for annual goals, performance reviews, required documentation, and recurring people processes.

  • Help ensure staff have clear, reliable systems and access to the tools and information they need.

Routine Executive Director scheduling, Board logistics, meeting invitations, and administrative preparation are primarily handled by Efshar’s Executive & Administrative Coordinator. The Manager ensures that the broader systems supporting this work are clear and effective.

Technology and Data Systems — 30%

  • Administer Efshar’s CRM, productivity, project-management, and collaboration tools, including accounts, access, licenses, vendor relationships, and renewals.

  • Lead the day-to-day administration and staff adoption of Member365, the platform supporting Efshar’s Resource Hub and CRM, and other assigned systems.

  • Ensure staff understand how to use organizational systems consistently and effectively.

  • Document workflows, support staff training, and monitor system use and data quality.

  • Support implementation and ongoing administration of donor-management systems in partnership with the Director of Development and Marketing.

  • Coordinate data-collection and reporting calendars and develop efficient processes for evaluation and annual impact reporting.

  • Create systems that make organizational data easier to collect, understand, and use for decision-making.

  • Identify useful automation and AI applications and help the team adopt them responsibly and effectively.

  • Look for opportunities to simplify repetitive work, improve workflows, and reduce unnecessary administrative burden through better systems and technology.

Functional leads retain responsibility for the accuracy, interpretation, and substantive use of data within their areas.

Finance and Administration — 15%

The Manager will support financial administration and gradually take increased ownership of agreed day-to-day financial workflows through a phased hand off with Efshar’s fractional Finance Manager.

Working with the Executive Director, fractional Finance Manager, external accounting team, and Finance Committee, the Manager will:

  • Maintain financial calendars, documentation, and deadlines.

  • Coordinate information across staff, the Finance Manager, and external accounting team.

  • Support annual budgeting and periodic forecasting by gathering staff inputs, maintaining planning tools, and coordinating updates.

  • Support grant budgeting, monitor spending against grant budgets, and coordinate financial information needed for grant reporting.

  • Coordinate documentation and processing for program incentives, stipends, invoicing, reimbursements, and payments within established approval procedures.

  • Maintain routine cash-flow and anticipated-receipts tracking.

  • Support budget-to-actual monitoring and flag questions or concerns for review.

  • Manage purchasing records, coding inputs, contracts, and related financial documentation.

  • Coordinate preparation and distribution of financial reports and supporting materials for leadership and Board review.

  • Support Finance Committee preparation and follow-through by coordinating materials and tracking action items.

  • Administer organizational credit cards, coordinate monthly expense allocations and mileage reimbursements, and maintain supporting documentation.

  • Coordinate insurance renewals and maintain organizational policy records.

  • The fractional Finance Manager retains financial oversight and expertise, including leadership of budgeting and forecasting, interpretation of financial results, and financial planning in partnership with the Executive Director, Finance Committee, and external accounting team.

The external accounting team retains responsibility for accounting, reconciliations, close, and technical reporting within its agreed scope.

The Executive Director retains financial decision-making and approval authority.

The handoffwill begin with learning and documentation, progress to coordination with review, and expand to ownership of agreed workflows as readiness and capacity are demonstrated. Significant expansion of financial responsibility will include a review of role scope, title, and compensation.

Special Projects — 10%

  • Support selected cross-functional organizational projects by creating the execution infrastructure needed for success: clear plans, owners, milestones, dependencies, documentation, information requests, and project visibility.

  • Maintain project trackers and help teams identify and address operational barriers.

  • Coordinate information and follow-up across staff, consultants, partners, and other stakeholders when appropriate.

  • Work collaboratively with project and functional leads while maintaining clear ownership boundaries: the Manager owns the operating structure, coordination, and visibility; functional leads own the substantive strategy, deliverables, outcomes, and performance of their work.

  • Take on additional organizational projects in consultation with the Executive Director based on priorities and available capacity.

What You Will Bring

We are looking for someone who combines excellent execution with strong systems thinking.

The strongest candidate will bring:

  • Three or more years of relevant experience in operations, project management, nonprofit administration, financial administration, or a related field, or an equivalent combination of experience and training.

  • Demonstrated ability to coordinate work across people and projects, manage deadlines and details, take initiative, and bring commitments to completion.

  • Strong systems thinking and an interest in improving how an organization operates.

  • An ability to see both the big picture and the operational details required to make it happen.

  • Experience creating or improving workflows, processes, or organizational systems.

  • Confidence following up with colleagues, surfacing risks, and helping move work forward without taking over work that belongs to others.

  • Experience with budgets, financial reports, expense processes, or spreadsheet-based financial planning and comfort working with external accountants.

  • Experience using Monday.com or similar project-management software; Monday.com experience is strongly preferred.

  • Proficiency with spreadsheets, Google Workspace, and CRM or database tools.

  • Familiarity with AI tools and a willingness to explore how technology can improve organizational effectiveness.

  • Ability to learn new systems, document workflows, and explain processes clearly to others.

  • Clear written and verbal communication.

  • Sound judgment, discretion, and a collaborative approach.

  • Comfort moving between higher-level problem solving, cross-functional coordination, and practical day-to-day operational work.

  • Ability to determine what requires leadership attention and what can be resolved independently.

  • Commitment to Efshar’s mission and interest in supporting Jewish early childhood education and the broader Colorado Jewish community.

  • Experience in a small nonprofit, office management, financial administration, staff training, or Jewish communal organizations is helpful. Familiarity with Member365 or similar platforms is a plus.

A specific degree is not required.

The Right Person for This Role

You may be especially well suited for this position if you are someone who:

  • Notices when a process is unclear and naturally wants to improve it.

  • Can take a broad organizational goal and help translate it into owners, milestones, and next steps.

  • Enjoys creating order without adding unnecessary bureaucracy.

  • Follows up consistently and respectfully.

  • Can look across multiple projects and recognize dependencies or risks others may not see.

  • Brings a proposed solution when raising a problem.

  • Likes making information easier for leaders and teams to understand.

  • Can distinguish between something that needs the Executive Director’s decision and something you can simply handle.

  • Finds satisfaction in building systems that allow other people to do their best work.

What Success Looks Like

Over time, success in this role will mean:

  • Efshar’s priorities are clearly translated into initiatives, owners, milestones, and measures.

  • Leadership has a reliable view of what is on track, what is at risk, and what requires a decision.

  • Staff understand what they own and where to find the information they need.

  • Important commitments and deadlines do not depend on the Executive Director remembering them.

  • Team meetings focus more on decisions, barriers, and coordination and less on basic status updates.

  • Organizational systems are simple, current, and consistently used.

  • Technology supports the team rather than creating additional work.

  • Data collection and reporting are increasingly efficient and reliable.

  • Financial administrative processes are accurate, documented, and increasingly well coordinated.

  • Cross-functional projects move forward with clearer ownership and fewer dropped handoffs.

  • The Executive Director can spend more time on strategy, relationships, fundraising, organizational leadership, and external partnerships because the organization’s operating infrastructure is dependable.

Location and Working Arrangements

This is a full-time, Denver-area hybrid role combining remote work with in-person team meetings, partner meetings, and events as needed.

Occasional evening work and travel may be required for scheduled activities. The start date and regular in-person schedule will be discussed during the hiring process.
