Administrative Coordinator, Education The Administrative Coordinator for Education is a full time, exempt position, responsible for providing administrative and programmatic support and coordination for the Temple Israel Education Department. This is an onsite position. The weekly schedule is typically Monday, Tuesday, Thursday, Friday and Sundays with Wednesdays off. Occasional evening hours according to program schedule, with flexible comp time.

Job Responsibilities The Administrative Coordinator will occupy a central role in our Education Team, and will join the greater administrative staff team at TI. The Administrator Coordinator will serve as our first line for office administration and program logistics. General duties include: Program Administration

  • Administration of Religious School logistics including setups, teacher support, registration, class lists and supplies
  • Administrative support for trip planning, monthly Friday night family service, Religious School and Teen programs (including holidays, family programming and social justice events)
  • Creation and management of registration forms including yearly program registration, event and trip registration
  • Communicate space and setup needs to events coordinator, accommodators and facilities staff; oversee program setups the day of an event
  • Administrative point person on Sundays and during education programming

Office Administration

  • Serve as “help desk” point person for answering phone and email queries
  • Write and draft weekly department newsletters, maintain our constant contact and mail merge lists
  • Communication and coordination with vendors
  • Manage payroll, human resources and education finances in partnership with Temple Israel Finance office:
    • Process weekly check requests from incoming invoices
    • Manage payroll for Religious School and Teen part-time Faculty
    • Support hiring of new faculty each year: contracting, payroll onboarding, email setup and other duties as assigned
  • Weekly upkeep of the teacher resource room: keeping it tidying & surveying supplies to ensure the room is well-stocked
  • Complete tasks as needed to support the Rabbi and Director of Congregational Learning and the Education Department
  • Other miscellaneous administrative support for the Education Department as needed

Qualifications and Skills

  • Agility with Microsoft Word, Excel, PowerPoint, Google Docs, and DropBox. Training support provided for Campaign Monitor, Salesforce, Form Assembly, E-Space and other new technologies as they become available
  • Exemplary written and verbal skills
  • Tenacious attention to detail, even under tight deadlines
  • Ability to prioritize tasks and manage multiple projects
  • Professional, diplomatic, and discreet with confidential matters
  • Knowledge of the local Jewish landscape, synagogue life, Jewish education, Jewish holiday cycle, and Hebrew desired but not necessary
  • Highly resourceful team-player, with the ability to also be effective independently
  • Flexible attitude and ability to work calmly under pressure
  • Patience and sense of humor
  • Bachelor’s degree required

Salary and benefits The salary range for this position is 45-55k.
