Administrative Assistant We are looking for an organized, welcoming, and people-oriented professional to join our main office team. This full-time, in-person role provides administrative support to the Executive Director, Director of Membership and Communications, and the Finance Department, while also assisting with general office operations. The position reports directly to the Executive Director and is an integral part of the administrative team. The ideal candidate thrives in a fast-paced environment and brings a detail-oriented approach to every task.

Primary Responsibilities

  • Executive Director Assistance: Provide direct support to the Executive Director including working on special projects, updating yearly documents, preparing charts and reports, sending emails and managing the Temple calendar.
  • Membership Administration: Handle membership-related tasks such as entering new members into the CRM, keeping records accurate and current, and following up with members and prospective members as directed. Handling our new member gifts.
  • Communications Execution: Manage the production of the synagogue’s quarterly newsletter, coordinating submissions from staff and volunteers, and serving as the liaison with the printer to ensure timely publication.  Post updates and announcements to the Temple’s social media platforms to keep the community informed and engaged. Creating and proofreading emails.
  • Finance Related Tasks: Provide administrative support to the Finance Department, including payroll and benefits tasks, plus scanning and organizing financial records as needed.
  • Administrative Team Collaboration: Serve as the primary phone contact, assisting congregants with questions and directing them to the appropriate staff member. Pitching in for colleagues during busy times.

Experience and Qualifications

  • Professional Experience: 2-4 years of relevant work experience preferred, with the ability to perform in a fast-paced environment.
  • Technical Proficiency: Some experience with 2-3 of following software platforms:
    • Microsoft 365 (OneDrive, Teams, Word, Excel, PowerPoint)
    • Form Builder Program (Jotform)
    • Facebook and Instagram
    • Canva
    • Customer Relationship Management (CRM) systems (ShulCloud a plus)
    • Project Management systems (Monday.com a plus)
    • Calendar Programs
  • Communication and Organizational Skills: Excellent verbal and written communication skills, strong organizational abilities, with the ability to multitask, prioritize competing demands, and meet deadlines while maintaining attention to detail.
  • Collaborative Mindset: A team player with a positive attitude, a proactive and creative approach to challenges, and a good sense of humor that fosters a supportive and enjoyable work environment.
  • Interpersonal Qualities: Strong judgment, dependability, and the ability to cultivate meaningful relationships with colleagues and community members. Ability to be discreet and trustworthy when handling confidential information and sensitive issues.

Hours Hours are Monday–Thursday, 9:00 AM–5:00 PM, and Friday, 9:00 AM–4:00 PM, in person.

Salary and Benefits $55-60,000 salary with health insurance, contribution to a retirement plan and paid time off.
