ELC Administrative Assistant

Are you highly organized, detail-oriented, and passionate about supporting early childhood education? The Early Learning Center at Temple Beth El is seeking a warm, dependable, and proactive Administrative Assistant to support the daily operations of our preschool.
This role is perfect for someone who thrives in a fast-paced environment, enjoys working with families and young children, and takes pride in keeping systems running smoothly behind the scenes. You’ll play a vital role in supporting staff, coordinating programs, managing enrollment, and ensuring our school community feels welcoming and well-organized.
Availability for occasional evenings and weekends is required to support special events, Tot Shabbats, and staff meetings.
JOB SPECIFIC DUTIES AND RESPONSIBILITIES include the following:
- Staff the reception desk as needed, including breaks and late afternoons
- Manage student registration and enrollment: process applications, collect required forms, and follow up with families
- Maintain student files and incident report
- Create and update classroom rosters for staff and room parents
- Maintain calendars for the Director and Assistant Director, scheduling meetings, events, and appointments
- Support preschool programs and systems:
- Assist with attendance uploads, class lists, assessments, and VPK reimbursement submission
- Process vendor invoices and track expenditures
- Support petty cash, reimbursements, credit card reconciliation, and teacher budget tracking
- Create printable calendars for program planning
- Prepare and update PreK graduation materials annually, including diplomas, tickets, and programs
- Assist with other duties as assigned by the Director
KNOWLEDGE, SKILLS, ABILITIES
- Excellent organizational and multitasking skills, with the ability to manage competing priorities
- Strong interpersonal skills and a friendly, professional demeanor when interacting with staff, families, and visitors
- Detail-oriented with strong recordkeeping and data entry skills
- Proficiency with standard office software (Microsoft Office, Google Workspace) and ability to learn new systems quickly
- Ability to maintain confidentiality and handle sensitive information appropriately
- Flexible, dependable, and able to work occasional nights and weekends to support special events and meetings
EDUCATION and/or EXPERIENCE
- High school diploma or equivalent required; associate’s degree or higher in education, administration, or related field preferred
- Previous experience in an educational or preschool environment strongly preferred
LEGAL & COMPLIANCE REQUIREMENTS
This position requires Level 2 background screening pursuant to Chapters 435 and 402, Florida Statutes, including fingerprinting and screening through the Florida Care Provider Background Screening Clearinghouse.
