Description

JOB SPECIFIC DUTIES AND RESPONSIBILITIES, which include the following:

Member Engagement

  • Engaging with members and guests on a daily basis to create a welcoming community environment.
  • Provide information regarding Temple Beth El membership, policies and procedures, program events and classes, current and upcoming activities.
  • Answer incoming calls and route calls using proper phone etiquette.
  • Process financial transactions (i.e. class enrollment, donations, etc.)
  • Process membership applications (i.e. paperwork, payment, picture IDs).
  • Resign members and send 10-day letters when requested
  • Maintain accurate membership database and tracking.
  • Keep accurate member records and notations in CRM
  • Assist with the rest of the E&P team with Global Renewal
  • Staff the Adult Programming Task Force
  • Serve as Shabbat Monitor
  • Conduct temple tours as needed
  • Open Houses & New Member events
  • Assist in the planning, implementation and staffing of Open Houses & New Member events.

Program Management

  • Maintain program data in membership database and other areas as required;
  • Manage RSVPs and registrations both via phone and on-line, including processing and verifying payments.
  • Coordinate event logistics including: venues, catering, publicity, speakers, staffing, vendors, program content, day of event (set up/ program flow/breakdown) for assigned events.
  • Prepare event mailings, materials and solicitations.
  • Schedule events on the Temple Calendar in a timely manner with complete room reservations and ensures staff is informed of all room set-ups.
  • Sisterhood: Support the E&P Director in planning and executing Sisterhood events, ensuring adherence to Temple policies and protocols, and facilitating member engagement.
  • Work with other staff members on interdepartmental projects as needed and perform other duties as assigned.
  • Plan catering and logistics for a multitude of Temple events.
Requirements

KNOWLEDGE, SKILLS, ABILITIES

  • Knowledge of the Jewish community and Jewish customs;
  • Excellent verbal and written communications skills;
  • Excellent organizational and administrative skills;
  • Excellent problem solving, and attention to detail;
  • Must be a self-starter and possess the ability to work both independently and with a team;
  • Ability to juggle multiple projects with superb accuracy;
  • Knowledge of Microsoft Office products (Outlook, Word, Excel and PowerPoint);
  • Ability to utilize software and work with databases; some experience preferred; Ability to multi-task, meet pressing deadlines and anticipate needs;
  • Ability to adapt and adjust in changing environment;
  • Ability to work occasionally on nights and weekends; and
  • Ability to maintain confidentiality

EDUCATION and/or EXPERIENCE

  • Bachelor's degree or higher desired,
  • 10+ year experience in in related field;

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

LANGUAGE SKILLS

Ability to read and interpret data reports, documents such as registrations, letters, business correspondence, and procedure manuals. Ability to create and write routine reports and correspondence. Ability to speak effectively with managers, employees and at times with members of the organization. High attention to detail and strong organizational skills with the ability to perform multiple functions simultaneously in a timely manner.

TRAVEL

Some travel may be required between Beth El campuses and to events.

PHYSICAL DEMANDS

This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand as necessary. No heavy lifting is expected. Exertion of up to 10 lbs. of force occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, copiers, telephones and scanners.

WORK ENVIRONMENT

This position is located at our Schaefer Family Campus in Boca Raton, Florida. This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. This role is faced with constant interaction with staff, members & vendors and the successful candidate must have the ability to multi-task. This role must also spend hours on the computer entering information, which requires attention to detail and high levels of accuracy.
