Position Summary
We’re seeking an Executive Assistant to support the Northeast Regional Director, based in New York. Working independently, this position performs a wide range of complex and confidential administrative and clerical support duties in service of the Northeast Region's mission-driven work engaging campuses, communities, and supporters in Israel education and the fight against antisemitism.
The Executive Assistant provides information and service to internal and external contacts, including donors, chapter volunteers, and staff, and requires a strong working knowledge of the organization's policies and procedures. Includes responsibility for executive office management as appropriate.
This position is suited for someone who is highly organized and comfortable managing shifting priorities in a fast-paced, high-profile environment, and who is looking to build skills in project management, event coordination, and relationship-building while directly enabling the Northeast Region's outreach and programming.
Responsibilities
- Manage a wide range of complex office administration and support functions for the Regional Director.
- Administer departmental office systems and procedures.
- Review, assess, route, and answer correspondence, and monitor follow-up action steps; gather and analyze information for administrative reporting.
- Compose and edit letters, memoranda, reports, marketing collateral, and presentations; prepare copy for publication or grant proposal and report submissions.
- Manage complex calendars and coordinate meetings, appointments, and travel arrangements.
- Support event coordination, including conferences and local events.
- Purchase and maintain office supply inventory.
- Conduct research and summarize findings.
- Create and maintain office databases.
- Answer and route phone calls, mail, and email messages, and disseminate information as needed.
- Assist with chapter communication and coordination.
- Contribute to unit efforts by taking on related duties as needed.
Qualifications
- College degree preferred, or equivalent combination of education and office experience.
- 2+ years of related experience with proven office administration and customer service skills required.
- Experience managing multiple projects and deadlines simultaneously.
- Strong working knowledge of office processes, business policy development, and related computer software and electronic communication tools.
- Proficiency in Microsoft Office and Google applications; quick learner with donor database systems.
- Extensive knowledge of the pro-Israel and Jewish community is a plus.
- Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- Excellent verbal and written communication skills.
- Detail-oriented, self-motivated, organized, and reliable team player; proactive with a strong work ethic and the ability to multitask effectively.
- Must have American citizenship or a valid work visa; StandWithUs cannot sponsor work visas.
