Summary:
The Assistant Manager – Facilities is dedicated to fulfilling the Jewish Community Center's mission of enriching lives, building community, promoting inclusivity, and creating meaningful Jewish experiences. Under the supervision of the Manager – Facilities, the Assistant Manager supports the daily operations of the Building and Grounds Department on the Marilyn and Sam Fox Campus. Responsibilities include coordinating staff activities, maintaining facility systems, ensuring cleanliness standards are met, and assisting with maintenance operations. This position helps deliver exceptional member and guest experiences by ensuring timely completion of maintenance requests, emergency repairs, event setups, and custodial services throughout the facility and grounds.
Responsibilities:
- Support and provide feedback to Maintenance, Operations and Custodial staff.
- Support the Manager in coordinating staffing (including temporary staffing and coverage for after-hour events) and timecard review and approval.
- In conjunction with maintenance manager, arrange and adjust work schedules, including coverage for after-hour events.
- Visually inspect work, buildings and grounds, and equipment. Correct deficiencies or generate work orders for those items which require additional time or resources.
- Manage relationship with after-hours cleaning contractor in coordination with the Director of Operations.
- Communicate with Manager – Facilities and Building and Grounds Directors when assistance from outside contractors or vendors is needed.
- Promptly address or report safety hazards, regulatory concerns, and member-impacting issues to the Manager – Facilities. Communicate updates to affected departments as appropriate.
- Regularly check and monitor building automation systems for alarms and deficiencies, this includes HVAC and mechanical systems including pools. Take appropriate action to repair or report as needed.
- Regularly check and adjust pool chemicals as needed.
- Perform troubleshooting or complete minor installations and repairs on multiple systems including, but not limited to:
- Electrical 120V, 208V, 277V, 240V) HVAC, swimming pools, plumbing, carpentry, drywall, painting, flooring, and appliances.
- Use Maintenance Request System to ensure maintenance requests are completed in a timely manner.
- Ensures accurate completion of room, event, and rental setups.
- Maintain appropriate inventory levels and order supplies for the Building and Grounds Department.
- Be responsible for reports on purchases, deliveries, maintenance, and expenditures.
- Foster a collaborative culture by partnering across departments and locations including within the Building and Grounds team to identify, prioritize and meet facility needs and organizational mission.
- Be available and responsive for building wide events, staffing gaps, and emergencies, including evenings and weekends.
- Report any issue that you can’t address but requires attention.
- Other duties as assigned.
Qualifications
- High School Diploma/GED required; Related College or Technical degree preferred.
- Demonstrated supervisory experience of employees in a maintenance or related department.
- Must possess strong written and verbal communication skills.
- Must have the ability to effectively collaborate and communicate with other JCC staff, lay leaders and customers.
- Comfortable working with Microsoft Office suite and other business software programs
- Certified Pool Operator (CPO) preferred. If not, will train within 90 days. (Course paid for my employer)
- Ability to climb and work with a ladder.
- Current MO Class E Chauffeurs license is required for use of Agency vehicles. Must obtain within 30 days of employment if do not currently have.
- Ability to lift objects not to exceed 80 pounds.
- Knowledge of cleaning materials and practices.
- Strong leadership and interpersonal skills including ability to be approachable while also holding people accountable.
- Ability to effectively collaborate across departments and with external customers and vendors.
- Flexible schedule to allow for weekend and evening work is required.
