Role Description We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the Seed the Dream Foundation’s Executive Director and US Team. The Administrative Assistant will play a key role in ensuring smooth administrative workflows, managing communications, and coordinating logistics. This role requires someone who can switch between tasks, anticipate needs, and maintain confidentiality. The Administrative Assistant will report to the Executive Director.
Key Responsibilities • Provide general administrative support to the Executive Director: manage schedules and calendars, coordinate meetings, prepare agendas, take minutes. • Assist with correspondence: prepare letters and emails, manage filing systems, ensure documents are correctly formatted, create and prepare for dissemination virtual greeting cards/newsletters. • Event and meeting coordination: help plan, schedule, and organize internal and external meetings or events; arrange logistics (venues, travel, materials, refreshments, virtual meeting setups). • Communications support: help maintain contact databases, assist with updating the website or social media as directed, prepare content or proofreading for internal/external communications. • Financial & record keeping assistance: may include assisting with expense tracking, invoices, reimbursements; maintaining accurate records of documentation, and correspondence. • Project assistance: support special projects as assigned (e.g. research, event planning, outreach initiatives). • Maintain the highest level of confidentiality and professionalism in all interactions and document handling.
Qualifications • Bachelor’s degree or equivalent experience preferred. • 5+ years of administrative / support experience, ideally in a nonprofit / educational / grant-making environment. • Strong organizational skills; ability to manage multiple tasks/priorities with attention to detail. • Excellent written and oral communication skills. • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Canva, and Adobe; comfort with Zoom and basic collaboration tools. • Ability to work independently, anticipate needs, and be proactive. • Discretion in handling sensitive/confidential information. • Strong interpersonal skills; ability to collaborate across teams and with external partners.
Additional Preferred Skills • Familiarity with educational initiatives and issues related to access, empowerment, gender-based violence, antisemitism, or Holocaust education. • Experience with content / communications (social media, website content management). • Multilingual or experience in cross-cultural settings, especially U.S.-Israel contexts.
