Team Administrator
Project Shema
The Team Administrator will support the Vice President of Engagement at Project Shema. This role is responsible for handling the administrative side of engagement efforts with partners and potential partners. The Team Administrator will take notes and maintain records of partner meetings, own database management of leads, support calendar management and updates for Project Shema programming, and support communication efforts with potential partners.

Compensation: $60,000; $12,000 Health reimbursement fund (HRA); 401(k); Lifestyle Spending Account (LSA), flexible work structure; generous PTO policy

- This role has an expectation of responsiveness within 24 hours on workdays to the stakeholders being supported by this work.
Job Scope
Partnerships Engagement Team Administrative Support (70%)
- Join the VP of Engagement on intake and exploratory calls with prospective partners; ensure accurate note-taking and timely updates to internal calendars and tracking systems
- Maintain complete, accurate and well-organized files and official records and track progress against goals
- Maintain and update lead databases with high accuracy, ensuring data integrity and timely entry of new prospects and activity logs
- Support the VP of Engagement and Partnerships Engagement Manger to coordinate complex calendars for team members, scheduling internal and external meetings across multiple time zones
- Draft, proofread, and send professional email communications on behalf of team leads, ensuring consistency in tone and branding
- Assist VP of Engagement in organizing team workflow by tracking deadlines, meeting follow-ups, and action items
- Maintain confidentiality while handling sensitive information and communications
Special Projects Administration (30%)
- Support special projects as requested outside of the Engagement team in partnership with the VP of Partnerships, Chief Strategy Officer, and/or Chief Executive Officer
- Support special projects by conducting research, preparing reports, tracking deliverables, and managing cross-functional timelines
- Manage team calendars and organize meetings across departments, prioritizing shifting demands and time zones
- Possible support of travel booking and logistics for Project Shema Leadership Team
