POSITION SUMMARY
Reports to Ilisa Cappell, Chief Leadership and Engagement Officer
Employment Period: September 1, 2026 through July 31, 2027 with an option to renew
Time Commitment: 3-8 hours per week
We are seeking a highly organized, detail-oriented, and service-minded professional to support the Leadership Programs, including the Day School Leadership Training Institute (DSLTI), throughout the year. This role combines administrative coordination, event planning, financial administration, and participant support in a collaborative and mission-driven environment. The Coordinator will work closely with Prizmah's program directors, including the Senior Director of DSLTI, to support program operations and ensure a high-quality experience for participants. The ideal candidate enjoys coordinating many moving pieces, communicating with warmth and professionalism, and ensuring that every detail is thoughtfully managed.
This is a part-time, hourly position averaging approximately 5 hours per week, with some variation based on program needs throughout the year.
While the majority of this role is remote, Prizmah hosts several in-person programs throughout the year. There may be opportunities to work additional hours supporting these gatherings in person, based on your availability. Prizmah will cover approved travel expenses associated with these events.
CORE RESPONSIBILITIES
Program Coordination

Partner with the Sr. Director DSLTI and other program leaders to coordinate administrative and logistical needs across Leadership Programs.

Coordinate interviews, meetings, and virtual sessions.

Maintain applicant, fellow, alumni, and prospective participant records.

Partner with Prizmah's Marketing team to ensure participant information is accurate across systems.

Create and manage Zoom meetings, WhatsApp groups, and email distribution lists.

Serve as a point of contact for program participants, faculty, and other stakeholders; respond to inquiries and provide follow-up information as needed.

Prepare and send program communications, updates, and reminders.

Help deliver a seamless, welcoming, and engaging experience for program participants.
Financial Administration

Process invoices through Bill.com.

Coordinate billing and invoicing with Prizmah's Finance team.

Monitor accounts receivable reports and follow up on outstanding balances as needed.
Event Planning & Logistics

Coordinate catering, hotel information, room setups, and meeting logistics.

Prepare participant materials, schedules, name badges, and printed resources.

Update presentations and mentor materials.

Order supplies and organize materials before each gathering.

Support the logistical planning that helps each program run smoothly, primarily remotely, with the opportunity to provide in-person support at program gatherings based on availability.
Post-Program Support

Coordinate reimbursements and collect required documentation.

Maintain accurate program records and materials following each gathering.

Complete post-program administrative tasks and communications.

- July 5 through July 16 (approximately 7:30 a.m. to 5:00 p.m. daily).

Competitive hourly compensation in the nonprofit field in the range of $35-$37/hour. Prizmah's compensation ranges are based on education, experience, and skill set required for each role. If your compensation expectations are different and/or you have more experience than required, let's talk.
