Job Overview
The Special Events Manager provides operational funding and support for FamilyMatters through a variety of development efforts, including special events, the Godparent Circle, donor stewardship, corporate sponsorships, community presentations, parlor meetings, and social media.
This role plans and executes fundraising events from concept through follow-up, builds and maintains donor relationships, and supports broader development team initiatives to grow the organization's funding base.
Essential Duties and Responsibilities
1. Event Planning and Execution
- Plan and coordinate special events, including luncheons, cocktail parties, card parties, golf outings, and other events, with the goal of raising operational funds.
- Handle special event registration, seating, email communications, committee support, silent auction and boutique preparation, event set-up and execution, and pre- and post-event tasks and follow-up.
2. Donor Engagement and Stewardship
- Make public speaking presentations on and off site to new and existing donors and community groups to raise funds and awareness and build the donor base throughout Greater Philadelphia and Southern New Jersey, and explore potential fundraising opportunities in New York.
- Provide follow-up and donor stewardship to retain existing donors.
- Maintain accurate records, calendars, expenses, and income for each event.
3. Communications and Materials
- Supervise and assist in the creation of direct mail pieces, newsletters, brochures, fact sheets, and other written materials.
- Organize the collection of data, information, and photographs for the annual newsletter.
4. Team Support
- Support the Development Team with events as needed.
- Perform any other reasonable task requested by the Supervisor.

Success in this position will be evaluated based on:
- Fundraising results and revenue generated from events and donor cultivation
- Quality of event planning, execution, and post-event follow-up
- Growth and retention of the donor base
- Accuracy of event records, budgets, and income tracking
- Quality of donor communications, presentations, and written materials

Required Qualifications
Education
- Bachelor's degree: Marketing, Business Administration, Communications, or a related field.
Experience
- At least two years of related experience: sales, marketing, communications, or event planning.
- Nonprofit experience: preferred.
Licenses, Certifications, and Other Requirements
- Valid driver's license: and clean driving record required.
- Insurance: When using a personal vehicle for authorized client transportation, maintenance of Bodily Injury Liability insurance of $100,000 per claim / $300,000 per incident is strongly preferred.
- Availability: Ability to work nights and weekends as needed to fulfill the requirements of the position.
- Background screenings: Ability to complete and maintain all required background screenings and employment clearances.
Preferred Qualifications
- Experience: using fundraising databases.
- Social media experience: including Facebook and other platforms.
- Knowledge: of community resources and contacts in the Greater Philadelphia and Southern New Jersey region.
Working Conditions
This position operates in a professional office environment and at various event venues throughout Greater Philadelphia and Southern New Jersey, with potential fundraising travel to New York. The role requires regular local driving and availability for evening and weekend events.
Physical Requirements
Staff must be physically capable of driving an automobile in a safe manner. The employee is regularly required to talk or hear, and is frequently required to stand, walk, use hands to finger, handle, or feel, and reach with hands and arms. The position requires the ability to occasionally lift office products and supplies up to 20 pounds.
