The Digital Systems Coordinator will help build and maintain this essential infrastructure, ensuring that Living Links can grow efficiently while providing a consistent and positive experience for speakers, affiliates, program participants, and partners., inspire, and confront antisemitism.
Position Overview
As Living Links enters a pivotal phase of national growth, we are seeking an organized, resourceful, and technology-focused professional to manage the digital systems that support our programs, communications, speakers bureau and affiliate network.
The Digital Systems Coordinator will maintain Living Links’ CRM, learning platform, website, email marketing, project-management tools, and system integrations. The Coordinator will help ensure that information is accurate, workflows run smoothly, communications reach the right audiences, and staff and affiliate partners can use our systems efficiently and effectively.
This role sits at the intersection of data management, technology, communications, and program operations. The Coordinator will use automation, AI tools, and practical process improvements to reduce manual work, strengthen coordination, and create scalable systems that support Living Links’ continued growth.
Reporting to the CEO, the Coordinator will work closely with program and operations staff, affiliate leaders, and external consultants. The ideal candidate learns new platforms quickly, communicates clearly with both technical and nontechnical colleagues, and enjoys turning complex or fragmented processes into organized, user-friendly, effective systems.
Core Responsibilities
CRM, Data and Automation
- Maintain Living Links' Zoho CRM and related tools, including Zoho Forms and Zoho Flow, to ensure systems remain accurate, current, and operational.
- Regularly audit CRM data to identify duplicates, incomplete records, outdated information, and inconsistent formatting.
- Build and maintain lists of speakers, affiliates, partner events, and program participants for internal and affiliate use; oversee the accuracy and consistency of information.
- Create reports and dashboards that help staff monitor engagement, program activity, and organizational outcomes.
- Build and maintain straightforward automations using Zapier, Zoho Flow, and other tools to connect systems and reduce manual work.
- Troubleshoot routine system issues and coordinate with external consultants when more advanced technical support is required.
- Identify, test, and implement improvements in data systems and workflow design.
- Train staff and affiliate stakeholders on CRM processes and data-entry practices and provide ongoing user support to ensure consistent and accurate data entry.
- Use AI tools appropriately to streamline administrative work, improve documentation, and support greater efficiency.
Speaker Training and Learning Systems
- Manage the setup and tracking of Speaker Training Program cohorts in Disco, our Living Links online learning and community management platform.
- Maintain course content, participant information, resources, and learning pathways in Disco.
- Send standardized pre-class communications, including welcome messages, technology instructions, and reminders.
- Provide administrative and technical support to instructors and participants to help ensure smooth program delivery.
- Generate and distribute current speaker bureau lists and other resources through Disco, including customized lists by region, topic, or availability.
- Support the team's effective use of Disco and help troubleshoot routine user questions.
- Coordinate scheduling, registration, and technical delivery for webinars, workshops, and other virtual events.
Digital Communications and Website Support
- Help maintain and update the Living Links Squarespace website.
- Apply basic HTML and CSS knowledge to make routine website, landing-page, form, and email-template adjustments.
- Manage Living Links' Mailchimp newsletter, including list maintenance, audience segmentation, scheduling, testing, and distribution.
- Create, schedule, and post social media content in coordination with organizational messaging and program priorities.
- Help maintain consistent and accurate information across the website, newsletters, social media, and other digital platforms.
- Track basic email, website, and social media metrics and prepare reports that help the team understand engagement.
Affiliate and Program Support
- Serve as a responsive point of contact for affiliate partners regarding systems, resources, data, and routine program needs.
- Help affiliates access and use Living Links' tools, materials, speaker information, and learning resources.
- Build and maintain strong working relationships with our stakeholders’ digital teams nationwide.
- Field feedback from affiliates and program users and translate it into practical system and process improvements.
- Help ensure that speaker engagements are tracked accordingly in the CRM.
Project Coordination and Continuous Improvement
- Use Monday.com to manage projects, timelines, tasks, and team responsibilities, supporting accountability and clear communication.
- Work with program staff to identify, test, and implement improvements in workflows and digital systems.
- Lead or assist with pilot projects that strengthen speaker engagement, affiliate collaboration, communications, and data reporting.
- Document workflows and create templates, standard operating procedures, and user guides.
- Apply a Continuous Quality Improvement (CQI) approach, documenting lessons learned, sharing insights, and helping plan for broader rollout of successful practices.
- Balance ongoing system maintenance with emerging projects and priorities in a fast-growing organization.
- Continue to audit systems and workflows to optimize efficiency and effectiveness.
Qualifications
Required
- 5+ years of experience supporting a CRM, database, digital communications system, learning platform, or related technology (e.g., Zoho).
- Demonstrated ability to organize and maintain data, generate reports and lists, and ensure accuracy and consistency.
- Experience with program or project coordination, such as managing schedules, tracking tasks, or supporting trainings and events.
- Comfort learning new software and digital tools quickly, including online tools such as Mailchimp and LMS platforms.
- Basic working knowledge of HTML and CSS.
- Experience using Zoom and Google Workspace, including Google Docs and Google Sheets for documentation, collaboration, tracking, and reporting.
- Strong written and verbal communication skills.
- Experience onboarding or training others on digital tools and creating basic guides or instructions for users.
- Highly organized, self-motivated, and able to manage responsibilities across multiple platforms.
- Ability to explain systems and processes clearly to colleagues and partners with varying levels of technical experience.
Preferred
- Experience with CRM, email marketing, or automation tools, particularly Zoho CRM, Zoho Forms, Zoho Flow, Mailchimp, or Zapier.
- Experience administering a learning management or online community platform; familiarity with Disco is a plus.
- Experience maintaining a Squarespace website.
- Experience using Monday.com or another project-management platform.
- Experience creating and publishing newsletters and social media content.
- Familiarity with AI-enabled productivity tools and an interest in identifying responsible, practical applications for them.
- Experience creating templates, standard operating procedures, dashboards, or user guides to improve efficiency.
- Background in a nonprofit, educational, or community-based organization, particularly one working with volunteers, national chapters, or multiple locations.
- Familiarity with speaker bureaus, training programs, or community-engagement initiatives.
- Comfort working with historical, educational, or mission-driven content, particularly Holocaust education and Jewish issues.
