Position Summary

The Clergy Assistant & Receptionist serves as a welcoming first point of contact for members, prospective members, visitors, and the broader community while providing administrative support to Congregation B’nai Tzedek’s clergy. The position coordinates clergy schedules and correspondence, assists families throughout the B’nai Mitzvah process, and supports the day-to-day operations of the synagogue. This position requires exceptional organization, attention to detail, dependability, and a warm, service-oriented approach.

Essential Responsibilities:

Reception Support

• Serve as a welcoming first point of contact for the congregation, including greeting visitors, answering and routing telephone calls, and responding to general inquiries.

• Provide responsive, professional assistance to members, prospective members, and visitors.

• Maintain a welcoming, organized, and professional front-office environment.

Clergy & Administrative Support

• Provide administrative and scheduling support to clergy, including drafting and preparing correspondence.

• Compile and prepare documents and materials for Shabbat services and other clergy needs.

• Draft and send clergy-related communications and reminders.

• Maintain and update the synagogue CRM/database, including membership information and yahrzeits.

• Perform other administrative support as needed to support the effective operation of the synagogue.

B’nai Mitzvah Coordination

• Support clergy and families throughout the B’nai Mitzvah scheduling and administrative process, ensuring families are informed and supported.

Qualifications & Skills

• Bachelor’s degree or an equivalent combination of education and relevant experience preferred.

• Administrative, customer service, synagogue, or nonprofit experience helpful.

• Strong proficiency with Microsoft 365, including Outlook, Word, and Excel, and the ability to learn and effectively use synagogue database/CRM and other technology platforms.

• Excellent written and verbal communication skills, with a professional and welcoming interpersonal style.

• Strong organizational skills, attention to detail, and ability to manage multiple priorities.

• Demonstrated discretion and sound judgment when handling confidential or sensitive information.

• Ability to work effectively both independently and collaboratively.

• Self-motivated, dependable, flexible, and receptive to feedback and changing priorities.

• Ability to remain professional, calm, and solution-oriented in challenging or time-sensitive situations.
