Position Overview:

The Temple Administrator (TA) implements the policies of the Board of Trustees and provides day-to-day management of the Temple, including administrative affairs and supervision of all administrative, clerical, and building maintenance personnel.

Position Type:

This a full-time, on-site, salaried position. At home days are negotiable but not to exceed 8 hours per week. Some weekends and evening work will be necessary.

Supervision and Direction

The TA takes direction from and is accountable to the president of the temple on behalf of the Board of Trustees. The TA also takes direction from and is expected to collaborate with the rabbi on all religious, programmatic, and administrative matters.

Principal Duties

The TA is responsible for ensuring the performance of the following functions either personally or through temple staff and for monitoring the successful achievement of all goals and meeting deadlines:

1. Fiscal Management

a) In collaboration with the Treasurer, bookkeeper and administrative assistant oversees processes and deposits, creates reports ensuring timely record keeping.

b) Assists with expenditure oversight.

c) Provides grant writing to help offset Temple’s operational costs.

d) Assists the Finance and Budget Committees in the preparation of the annual budget.

2. Office and Facility Management

a) Implements and updates office policies and procedures in partnership with the governance committee and at the request of the Board of Trustees.

b) Recruits, retains, manages, and develops non clergy staff.

c) Supervises all non-professional personnel and the day-to-day operations of the Temple and oversight of vendors.

d) Ensures maintenance of accurate membership records that contain pertinent data as to individuals and their families.

e) Serves as Temple purchasing agent to ensure cost effectiveness of purchases including vendors, office supplies, and equipment; and oversight of their use.

f) Provides on-site supervision of repairs, grounds, renovation, and expansion projects in concert with the Building and Grounds Committee. Ensures compliance with all town and state ordinances so that appropriate regulations are met.

g) Coordinates use of Temple facilities for services, classes, events and external rentals and seeks to generate revenue for the Temple in conjunction with other appropriate Committee Chairmen.

h) Implements Temple policies regarding caterers, photographers, musicians, etc.

i) Coordinates and manages the temple calendar that reflects the full programmatic, educational, religious, and ceremonial activities of the Temple community.

j) Ensures logistical support for all scheduled and special temple events.

k) Manages physical and online security needs.

3) Information Technology Management:

a) Manages and provides oversight to the congregation’s IT systems and website needs.

b) Assures all computer and software system products are up to date and meet high security standards.

4) Administrative Support

a) Provides necessary support to the Rabbi in conducting pastoral, worship, and teaching responsibilities.

b) Oversees and sometimes develops, in concert with the Communication Committee and the Administrative and communications coordinator, TBI newsletters, eblasts, emails, mailings, social media and other communications, both internally and externally.

c) Supports committees with administration, programming etc. (Governance, Finance, ENGAGE, Social Action, Membership etc.).

d) Along with the Administrative and Communications Coordinator provides clerical and administrative support to the Board, lay leaders, Religious School leaders and other committees.

e) Provides necessary support and implementation for all Shabbat and life cycle events, High Holiday services and festivals.

5) Relationship Management:

a) Implements membership outreach, recruitment, and retention strategies.

b) Cultivates relationships with congregants and Talbot County’s diverse community.

6) Candidate Requirements:

· Proficiency in Office software (MS Office, Google Suite, mass mailings, basic desktop publishing, Zoom) and the ability to learn Shul Cloud is critical in order to integrate our various software packages.

· Ability to partner, collaborate, build, and maintain positive and productive relationships.

· Exceptional organizational, time management and problem-solving skills.

· Ability to multitask and manage priorities effectively.

· Excellent interpersonal and communication skills, which includes the ability to communicate sensitively and diplomatically with all internal and external constituents.

· Ability to maintain confidential and sensitive information.
