Finance and Administration Associate

We are seeking a highly organized, detail-oriented, and proactive Finance and Administration Associate to join our team. The Finance and Administration Associate reports directly to the Executive Director and provides proactive and ongoing support to finance and development, billing management, HR operations, and other administrative functions. This role will assist in tasks such as accounts receivable and payable, financial controls, data entry, recordkeeping, and report preparation. As our organization grows, this role has the potential to grow in scope, responsibilities and compensation over time.
What You’ll Do:
Finance
- Manage accounts payable and receivable with vendors and contractors
- Invoice congregants for open balances for kiddush sponsorship, tutoring, BMitzvah fees, follow up on and close out open balances
- Record gifts in Shulcloud
- Issue partial or full refunds, and other financial adjustments, on tickets or tuitions
- Deposit and log checks
- Prompt staff on monthly expense reports
- Manage petty cash and cash requests
- Assist community members with setting up payments, answering questions about open balances, updating credit card information, changing monthly payment plans
- Assist community members with accessing tax letters or other documentation
- Assist offsite accounting team in closing our books each month
- Assist in the generation of financial reports and projections for our major revenue streams (membership, major gifts, campaigns, fee for service)
Administrative work
- Manage lists for special events
- Mail new builder packages
- Perform regular audits on subscription services, utility bills and other auto-pays
- Manage our equipment inventory (laptops) and other basic IT needs
- Assist with preparation for board meetings, staff board meetings
- Assist with annual commercial insurance renewal process
- As needed, support the Operations team, and provide ongoing organization-wide support to special projects.
Development
- Perform a monthly point-in-time reconciliation for pledges and gifts
- Track and record pledges, gifts and other activities related to our development efforts
- Handle data transfers from Stripe/Givelively to Shulcloud for donations
- Track attendance or other outcomes for grant funded programs
- Assist in the generation of financial reports and projections for our major revenue streams (membership, major gifts, campaigns, fee for service)
Human Resources
- Manage job postings for FT and seasonal/annual positions - Breezy, Jewishjobs, Idealist.org
- Assist with annual health insurance renewal process and open enrollment for staff
- Administer 401k plan enrollment and compliance
- Processe hiring paperwork for full and PT staff
- Assist with the ongoing maintenance of employee handbook
- Assist with planning and implementing training programs and events for staff and board
- Provide additional administrative support as needed
What You’ll Bring:
- 3-5 years work experience
- Strong organizational skills, with an ability to both grasp the big picture and keep track of many small nitty-gritty details
- Basic understanding of nonprofit financial processes, strong proofreading skills, accuracy in administrative work, and the ability to manage multiple independent projects efficiently and to deadline.
- Familiarity with Jewish community and traditions, particularly BMitzvah preparation
- Strong emotional intelligence and a customer service mindset when working with community members
Salary, benefits and why it’s great to work here:
- The salary for this position is $57,000 to $65,000 annually, commensurate with experience and skills.

Where You Work:
Hybrid work environment with our main office located at 4001 N. Ravenswood Avenue in Chicago. It is mandatory to work in the office at least three days per week.
