Full job description

We are seeking a reliable and detail-oriented Finance Administrative Assistant to support the day-to-day operations of the Finance Director and finance department. This position is primarily administrative in nature, while also providing exposure to basic finance processes and reporting. The ideal candidate is highly organized, accurate, and comfortable handling confidential financial documents and coordinating office support activities.

Key Responsibilities:

  • Perform data entry of financial and administrative information
  • Assist with expense reporting and corporate credit card tracking
  • Assist with client registration and balances
  • Assist with petty cash tracking
  • Support preparation of reports for leadership, board meetings, or funders
  • Assist with special projects and other finance-related assignments as needed
  • Maintain accurate records, files, and spreadsheets as needed
  • Answer phones, emails, and handle general finance office correspondence
  • Schedule meetings and maintain calendars for the Finance Director
  • Communicate with vendors, clients, and internal staff regarding paperwork and payment status
  • Support finance office operations including scanning, copying, and document preparation
  • Ensure confidentiality of financial and company information

Qualifications:

  • High school diploma or associate degree preferred
  • 1–3 years of administrative, clerical, or finance support experience
  • Strong data entry and typing skills with high accuracy
  • Highly Proficient in Microsoft Office, especially Excel and Outlook
  • Familiarity with various financial software is a plus
  • Strong organizational and multitasking abilities
  • Professional communication and customer service skills
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
