Position Overview

The Administrative & Program Assistant ensures smooth daily operations and supports the foundation’s grantmaking, communications, and relationship management. Working closely with the Executive Director, and in collaboration with other staff, the Assistant brings exceptional organization, attention to detail, and the ability to juggle multiple priorities in a fast-paced, mission-driven environment.

Key Responsibilities

Administrative Support

  1. Manage the Executive Director’s calendar, meetings, travel, and scheduling.
  2. Prepare and edit presentations, memos, board materials, and correspondence.
  3. Maintain organized electronic and paper filing systems.
  4. Support Board meetings: prepare agendas, assemble grant dockets, manage logistics, and draft meeting notes.
  5. Provide general operational support to ensure efficient foundation workflow.

Grants Management

  1. Enter, update, and track grants using grant management system; knowledge of Foundant a plus.
  2. Monitor deadlines, follow up with grantees, and support completion of grant review and reporting tasks.
  3. Generate user-friendly reports and maintain accurate records.
  4. Assist in preparing grant agreements and related documents.

Database, Communications & Relationship Tracking

  1. Maintain accurate contact and organizational records in Salesforce.
  2. Support communications and outreach using Salesforce lists and tools.
  3. Track grantee interactions to strengthen relationship-based grantmaking.

Program & Learning Support

  1. Serve as a responsive, professional point of contact for grantees and partners.
  2. Support internal learning, meeting preparation, and special projects.

Qualifications

  1. 3–5 years of administrative or nonprofit experience.
  2. Strong organization, prioritization, and problem-solving skills.
  3. Excellent writing, editing, and communication abilities.
  4. High proficiency with Microsoft Office; ability to learn new tools quickly.
  5. Experience with Foundant, or other grant management system, and Salesforce preferred.
  6. Knowledge of the modern Orthodox community is a plus.
  7. A collaborative, “roll-up-your-sleeves” approach.

Compensation & Benefits

Full-time, NYC-based role. Salary range: $68,000–$75,000, commensurate with experience. Includes generous benefits, paid time off, and support for professional development.
