DESCRIPTION

Job summary

The Development and Grant Associate is a critical member of the Development Department and plays an important role in meeting the school's annual fundraising goals. The position is responsible for providing administrative and operational support for the school's fundraising initiatives, with a specific focus on institutional giving and grant support. This role focuses on donor relations, database management, special events, and communications to help drive the school's mission and secure financial sustainability. The ideal candidate is detail-oriented, collaborative, and passionate about the school's mission.

Key responsibilities

Fundraising and donor relations

  • Assist in maintaining the donor database by accurately entering gifts, maintaining updated donor records, and generating reports.

  • Process and acknowledge all gifts in a timely manner, including preparing and mailing donor thank-you letters and tax receipts.

  • Provide administrative support for fundraising campaigns.

Event planning and support

  • Assist in planning and executing special events.

  • Help manage event logistics, including coordinating with the lay committee and vendors.

  • Help recruit, train, and manage volunteers for development events.

Grant Management

  • Maintain a grant calendar to track all deadlines for applications, submissions, and follow-up reporting.

  • Collaborate with school staff, including faculty and finance, to gather necessary data, program outcomes, and budget information for proposals.

  • Help prepare and submit all required reports for awarded grants, ensuring compliance with funder guidelines.

Communications

  • Help draft and edit donor communications, such as appeal letters, email blasts, and newsletters.

  • Support the Development and Marketing teams in creating compelling content that tells the school's story and demonstrates the impact of gifts.

Qualifications

Required

  • 1–2 years of experience in a non-profit fundraising or development role.

  • Exceptional organizational skills, a strong attention to detail, and the ability to manage multiple projects simultaneously.

  • Excellent written and verbal communication skills, with a professional demeanor.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Slides)

  • Ability to maintain confidentiality and handle sensitive donor information with discretion.

Preferred

  • Bachelor's degree or equivalent work experience.

  • Familiarity with donor management software

  • Experience in event planning and coordination.

  • A strong interest in education and commitment to the school's mission.

Physical demands

  • Occasional evening and weekend work is required for events.

  • This is a 12-month position that includes working through the summer months.

  • There is a 3 month in-office training. A hybrid schedule may be available after the training

  • Must be able to lift up to 25 pounds for event setup and materials.
