LOCATION: Business Offices, 610 Academy Drive, Northbrook, IL 60062

REPORTS TO: CEO

POSITION SUMMARY: Keshet is seeking a highly skilled Executive Assistant to the CEO to provide high-level administrative and operational support at its Northbrook, IL office. This role demands a proactive and detail-oriented professional who can manage the daily operations of the Executive Office, coordinate complex schedules, prepare critical communications and reports, and serve as a liaison to the Board of Directors and its committees. The Executive Assistant will play a key role in ensuring the CEO's time is optimized and organizational priorities are effectively advanced.

ESSENTIAL FUNCTIONS AND RESPONSIBILITES:

  • Manage CEO’s calendar, travel, and communications with utmost discretion.
  • Prepare detailed correspondence, reports, and presentation materials.
  • Coordinate and support Board and Committee meetings, including logistics, materials, and minutes.
  • Coordinate internal and external meetings, including preparing agendas, materials, and follow-ups.
  • Serve as a gatekeeper and liaison between the executive and internal/external stakeholder.
  • Draft, edit, and proofread emails, reports, presentations, and other communications.
  • Organize and maintain confidential files and records, both physical and digital.
  • Anticipate executive needs and proactively address challenges.
  • Maintain executive administrative systems and provide event planning support.
  • Liaise with Board members and other stakeholders with professionalism and efficiency.
  • Process expense reports, maintain records, and support executive-level projects and events.
  • Coordinate various agency wide events/activities, which may include dinners, workshops, retreats and meetings.

Qualifications

  • Bachelor’s degree required.
  • Minimum 5 years of executive-level administrative support.
  • Experience with Board of Directors support preferred.
  • Valid driver’s license required.

OTHER REQUIREMENTS:

  • Proficient in MS Word, Excel, PowerPoint; quick to learn new tools.
  • Strong written and verbal communication; skilled in editing and proofreading.
  • Proven ability to create and streamline administrative systems.
  • Highly organized, detail-oriented, and able to prioritize multiple tasks.
  • Exercises sound judgment and works proactively.
  • Stays calm and accountable under pressure.
  • Works independently and as part of a team.
  • Flexible with schedule and location based on CEO’s needs.
  • Maintains strict confidentiality.
