Job Description: Accounts Receivable/Accounts Payable (AR/AP) Specialist

Location: Middletown, Ohio

Reports To: Accounting Manager

Position Overview

We are looking for a detail-oriented and reliable AR/AP Specialist to manage the full cycle of our financial transactions. In this role, you will be the bridge between our vendors and our clients, ensuring that our bills are paid on time and our revenue is collected efficiently. The ideal candidate is someone who finds satisfaction in a reconciled ledger and possesses the communication skills to handle sensitive payment discussions with professionalism.

Key Responsibilities

Accounts Payable (AP)

  • Invoice Processing: Review, verify, and enter vendor invoices into the accounting system with high accuracy. Ensure all monthly invoices have been entered into the accounting system.
  • Payment Cycles: Prepare and perform check runs, wire transfers, and ACH payments.
  • Vendor Relations: Maintain strong relationships with vendors, research and resolve billing discrepancies.
  • Employee Credit Card: Review employee purchases and test compliance with existing policies. Also monitors timely submission of support documentation.

Accounts Receivable (AR)

  • Billing & Invoicing: Generate and distribute accurate invoices to customers based on purchase orders or contracts.
  • Collections: Monitor aging reports and proactively follow up on overdue accounts via phone or email.
  • Cash Application: Post daily deposits to the correct customer accounts.

General Accounting & Support

  • Reconciliations: Review Account Receivable transactions and ensure they have correctly flowed from our subsidiary system to the accounting system.
  • Audit Support: Assist in gathering documentation for year-end audits or tax filings.
  • Process Improvement: Identify opportunities to streamline invoice or payment workflows through automation.

Position Requirements

Required Skills & Qualifications

  • Experience: We welcome applicants who have built their expertise through years of practical accounting, AR/AP, or general bookkeeping.
  • Education: Associate’s or Bachelor’s degree in Accounting or Finance are preferred, but we value a strong track record of success in a high-volume AR/AP environment.
  • Technical Proficiency: Strong expertise in accounting software (JD Edwards) and advanced Microsoft Excel skills (VLOOKUPs, Pivot Tables).
  • Attention to Detail: An eagle eye for data entry errors and a commitment to “balancing the books.”
  • Communication: Ability to communicate clearly and amicably with both internal departments and external partners.
