Director, Executive Office Operations

The Director, Executive Office Operations, will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The candidate must have a strong attention to detail and ability to be flexible in a fast-paced environment. The candidate should display the ability to think strategically, anticipate the needs of the CEO and implement them as deemed appropriate. Additionally, he/she/they needs to be an excellent planner, as well as be able to prioritize and possess strong writing and communication skills.

Responsibilities include:

  • Provides administrative support to the CEO
  • Works with the Board of Directors on scheduling all group meetings such as the Board Meeting as well as the Executive Committee Meeting and on any board projects as deemed appropriate by the Chief Executive Officer.
  • Manages the staffing and operations related to the front desk at our Fallsgrove and Montrose locations.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Schedule and coordinate various meetings. Coordinates dates/attendance, distribute materials for committee meetings, agendas and minutes.
  • Performs other duties as assigned.

  • Adaptability – the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
  • Dependability – the individual is consistently at work and on time, follows instructions, respond to management direction and solicits feedback to improve performance.

Minimum Education and Work Experience Required:

  • A minimum of five to seven years of working experience at the executive level
  • Bachelor's degree in a related field preferred
  • Excellent working knowledge of common English usage, spelling and business formats
  • Ability to effectively use computer software, reporting tools and technology, including Microsoft programs (Word, Outlook, Teams).
  • Strong analytical, presentation, communication (verbal and written), organizational and problem-solving skills.
  • Excellent organizational skills – can successfully manage multiple projects simultaneously, while maintaining attention to detail
  • Ability to work independently.
  • Previous supervisory experience preferred.
  • Requires the ability to attend evening Board meetings

Salary based on experience: $80,000-$100,000
