Settlement Administrator

JIAS Toronto is a not-for-profit corporation dedicated to helping immigrants with resettlement in the Greater Toronto Area. JIAS Toronto assists immigrants and refugees in meeting basic financial, social, legal, and other requirements of immigration. We work to advance the well-being and social integration of newcomers by providing a full range of outreach, support, counseling, training, and referral resources.

RESPONSIBILITIES:

The Settlement Administrator is responsible for providing support and assistance to a team of front-line settlement workers and their newcomer clients. This position includes a combination of activities to support JIAS clients, such as booking appointments or arranging transportation, as well as activities to support JIAS staff, such as identifying resources for clients. This is a one-year, full-time contract position.

Essential Duties:

  • Provide ongoing administrative support to the settlement team in completing applications and other paperwork with clients, booking appointments for clients, and arranging interpretation and transportation services.
  • Support the settlement team with ad hoc tasks such as researching a need for a particular client.
  • Coordinate with agency contractors such as translators to ensure proper procedures are followed related to invoicing and payment.
  • Ensure accurate and timely data collection and data entry in accordance with Agency and professional standards.
  • Participate in regularly scheduled team meetings.
  • Provide administrative support for agency programs and services.
  • Maintain and update policies and procedures and lists of resources to support and clarify the day-to-day operations of the settlement team.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS:

  • Post-Secondary degree/diploma required, with a degree in a related field preferred.
  • Minimum 2 years of experience in an administrative role.
  • Previous experience working with newcomers to Canada or other vulnerable populations preferred.
  • High proficiency in Microsoft Office Package (Word, Excel, Outlook, and PowerPoint).
  • Experience using client record management systems preferred.
  • Excellent communication, organizational and interpersonal skills. Must be very detail oriented.
  • Must be a team player and able to support multiple clients and settlement workers simultaneously.
  • Ability to work in fast paced environment with competing deadlines.
  • Fluency in at least one language that relates to the agency client base is preferred, e.g. Russian, Ukrainian, Tigrinya, Farsi, Dari, Pashto.
