JFS Akron, Ohio, has an immediate opening for a part-time (under 30 hours weekly) Administrative Assistant.

Job Summary: This position provides administrative support to the Director of Older Adult Services, JFS Akron, and the overall department. As the first point of contact with the JFS Akron office, this position serves as liaison and representative, interacting with Board Members, staff, clients, funders, and community contacts.


Duties and Responsibilities:


  • Assists the Director of Older Adult Services, JFS Akron with compliance of funding sources as well as assisting with preparation of correspondence, grants and other reports.
  • Provides administrative and clerical support to the Director of Older Adult Services, JFS Akron, and staff including typing, copying, distributing, and organizing tasks related to the daily functioning of the department.
  • May assist in scheduling volunteers/students and others assigned to perform similar duties.
  • Opens, sorts, and distributes incoming correspondence, including faxes and email. Files and retrieves documents, records, and reports.
  • Assists in maintaining appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Responsible for all administrative support for the various programs including registration of new clients, file creation, data base maintenance, responder letters etc.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Represents the department by welcoming visitors, reviewing correspondence, responding to calls and answering questions and meeting requests.
  • Assists department staff with general typing, filing, and creation and maintenance of databases.
  • Takes minutes for meetings; prepares final version for distribution.
  • Picks up and distributes mail to staff in a timely manner, answers the department phone, keeps an adequate supply of paper in the printer, copier and fax machine, and other office tasks to ensure the efficient running of the office.
  • Assists in the management of the Director of Older Adult, JFS Akron's calendar and ensures the availability of necessary materials and presentations as required and maintains staff PTO calendar.
  • Attends and prepares for advisory committee meetings. This includes development, compilation and distribution of notices, agendas, reports, refreshments and the recording of the minutes.
  • Demonstrates awareness of, follows all safety policies and procedures, and adheres to all recommended safe work practices. Also contributes to the control of hazards in specified areas of responsibility.
  • Performs other duties or special projects as required or as assigned

Education/Training Experience/Licensure:

  • High School Diploma
  • Minimum three years' administrative assistant experience required
  • Bachelor's degree in business administration or related field may substitute for experience
  • Maintain both a valid Ohio Driver's License and a driving record that meets JFSA's insurance company standards
  • Maintain personal auto liability insurance at the level that the Agency and the insurance carrier requires

Knowledge, Skills and Abilities:

  • Required expertise in Excel; Strong computer skills, including MS Word, Outlook, and Access.
  • Strong organizational skills, with attention to detail.
  • Strong time-management skills
  • Strong interpersonal skills and ability to work as part of a team
  • Strong writing and proofreading skills
  • Strong detail orientation and excellent written communication skills
  • Good judgment regarding handling of confidential information to conform to HIPAA confidentiality regulations
  • Ability to work on multiple tasks simultaneously
  • Ability to work under pressure and meet deadlines
  • Excellent customer service/interpersonal skills; comfortable responding to difficult callers and responding to multiple demands on time and attention
