About Program 18 - Program 18 is a community-wide security initiative to strengthen the safety of Jewish institutions across Nevada through advanced technology, law enforcement collaboration, and community resilience. It integrates existing surveillance systems with Automatic License Plate Reader (ALPR) technology and shares intelligence with local law enforcement to proactively deter, detect, and defend against potential threats.

Position Overview

We are seeking a highly organized and proactive Executive Assistant & Project Coordinator to manage the logistical and administrative aspects of Program 18. This role will work closely with participating agencies, vendors, and Jewish Nevada’s security leadership team to ensure seamless implementation of all program components.

This position is part-time and project-based, ideal for someone with exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.

Key Responsibilities

· Project Coordination: Serve as the central point of contact for participating agencies and vendors, coordinating schedules, meetings, and deliverables for Program 18 implementation.

· Logistics Management: Oversee logistical aspects of site assessments, camera installations, and technology integration, ensuring milestones are met.

· Communication & Reporting: Draft and distribute program updates, maintain tracking documents, and provide status reports to the security team and leadership.

· Data Management: Maintain accurate and organized records, including signed MOUs, project timelines, and vendor contracts.

· Stakeholder Support: Assist agencies with onboarding steps, ensuring they have the information and support needed to participate successfully.

· Administrative Support: Handle general administrative tasks including scheduling, document preparation, and vendor invoice tracking related to the program.

Qualifications

· Proven experience as an Executive Assistant, Project Coordinator, or similar administrative role

· Exceptional organizational and time management skills with the ability to manage multiple tasks efficiently

· Excellent written and verbal communication skills

· Strong proficiency with Microsoft Office, Google Workspace, and project tracking tools

· Detail-oriented, proactive, and able to work independently

· Experience in community-based initiatives or security-related projects (preferred but not required)

Position Details

· Type: Part-time, project-based

· Reports to: CEO, Thomas Spiegel Family Foundation

· Location: Las Vegas; when the CEO requests, employee will work at the Foundation Office in Summerlin; sometimes at meetings with key constituencies; otherwise, remote

· Compensation: commensurate with experience
