Front Office Administrator Position Type: Full-time

DEPARTMENT: Finance General Hours: Monday-Thursday, 9:00am-4:00pm

REPORTS TO: Controller Friday, 9:00am-3:30pm

Lunch 60 minutes

The Front Office Administrator is the first impression of our organization and acts as a gatekeeper towards

ensuring a positive relationship with our donors, volunteers, and community constituencies. Your high-

energy role will also support our fast-paced finance team.

What You Will Own:

General Organization Support, as assigned.

What You Will Do:

Responsibilities include, but are not limited to:

Greet and screen all front-door guests, vendors, and visitors.

Make sure all front office equipment and the kitchen are clean, stocked with the applicable

supplies, and in working order.

Answer multi-line phone. Handle general information calls and route incoming calls to

appropriate staff. Make referrals to community organizations. Handle dissemination of

community event information.

Receive packages and ensure the office is stocked with shipping materials.

Prepare and collect requests for office, kitchen, and restroom supplies for the office as needed

by various departments.

Maintain general organizational e-mail account and voicemail, routing requests as necessary.

Create a backup schedule with the supervisor’s assistance for all breaks and days off.

Support departments by working with staff to facilitate the completion of finance and

accounting tasks.

Maintain and process confidential data through the organization’s database, as directed.

Participate in agency and community events that occur on nights/weekends with advance notice.

Work in partnership with colleagues and other departments of the Federation to support the work

of Jewish Nevada.

Other tasks to assist the department or organization as assigned.

What You Have Accomplished:

Strong organizational skills.

Ability to work effectively independently and as part of a team.• 2+ years experience as a receptionist, office manager or administrative assistant.

Mastery of MS Office suite of programs – Word, Excel, Outlook, One Drive and SharePoint and

general office equipment such as a printer, scanner, fax, postage meter, switchboard, and copier.

Data entry and strong attention to detail.

Ability to represent Jewish Nevada effectively in various settings and with diverse communities.

Strong knowledge (or willingness to learn) of the Jewish community and Jewish culture

preferred.

Previous experience with fundraising and/or accounting databases.

Understanding the complexity of the volunteer/professional relationship and success in

managing those relationships effectively and professionally.

Excellent written and verbal communication skills.

Good judgment and the highest level of integrity.

Able to problem-solve and manage complex and sensitive issues with tact and great skill.

Physical Demands:

Ability to sit, stand, and walk for extended periods of time.

Ability to perform push/pull movements and to lift 10- 50 lbs.

hiring range $40,000-$45,000, based on skills and experience.
