The Jewish Fertility Foundation (JFF) is a national nonprofit organization dedicated to supporting individuals and families in the Jewish community experiencing infertility. JFF provides financial assistance, emotional support, and educational resources to help those on their family-building journeys access high-quality fertility care. Through a combination of grants, support groups, community programming, and professional partnerships, JFF ensures that no one has to navigate infertility alone.
Position Overview
The Executive Coordinator provides high-level executive, administrative, and operational support to JFF's Chief Executive Officer, serving as a strategic partner who helps manage priorities, coordinates board governance activities, oversees communications, and ensures follow-through on key organizational details. This individual anticipates needs, keeps projects moving, and enables the CEO to remain focused on advancing JFF's mission and strategic growth. This is a full-time, 40-hour-per-week position. While the role is primarily remote, there is a strong preference for candidates based in the Atlanta metropolitan area who can attend occasional in-person team meetings, Board meetings, and organizational events.
Key Responsibilities
Executive Support

Manage the CEO's calendar, including scheduling and prioritizing meetings, calls, and travel, and proactively resolving conflicts.

Arrange travel logistics for the CEO, including national travel to JFF expansion cities and events.

Prepare correspondence, presentations, and briefing materials on the CEO's behalf; draft and proofread emails, letters, and reports.

Track the CEO's action items and follow-ups across departments, ensuring deadlines are met.

Proactively manage executive follow-up by tracking relationship touchpoints, recurring meetings, and strategic priorities, ensuring the CEO remains engaged with key stakeholders throughout the year.

Develop and maintain systems to remind the CEO of recurring outreach, donor stewardship, board engagement, and relationship-building opportunities.

Serve as the CEO's strategic scheduling partner, proactively managing calendar priorities during travel, board meetings, conferences, and organizational events.

Serve as a gatekeeper and liaison between the CEO and staff, board members, donors, and external partners, exercising discretion with sensitive and confidential information.
Board & Stakeholder Coordination

Coordinate logistics for Board of Directors meetings, including scheduling, materials preparation, minutes, and follow-up on action items.

Partner with the CEO and Board Chair to prepare meeting agendas, supporting materials, and executive briefings.

Support the CEO's communication with board members, funders, and community partners, including scheduling and preparing briefing notes.

Monitor board action items and ensure timely follow-up on commitments and next steps.

Assist with coordination of donor and funder meetings, site visits, and events as needed.
Strategic Projects & Operational Support

Support day-to-day office and administrative operations, including vendor coordination and general correspondence.

Assist with special projects and organizational initiatives as assigned by the CEO.

Coordinate cross-departmental initiatives to ensure projects remain on schedule.

Manage client intake through web inquiries and the JFF info email account, responding or delegating as appropriate.
Qualifications
-
Bachelor's degree or equivalent work experience preferred.

3+ years of experience as an Executive Coordinator or in a senior administrative role, ideally supporting C-suite or nonprofit leadership.

Demonstrated ability to anticipate executive needs, manage competing priorities, and independently drive projects and follow-up with minimal supervision.

Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.

Excellent written and verbal communication skills, with the ability to navigate sensitive conversations with empathy and professionalism.

High level of discretion and sound judgment in handling confidential information.

Proficiency with Google Workspace; experience with donor databases/CRMs (Bloomerang preferred) a plus.

Ability to work independently in a remote environment while staying closely aligned with the CEO's priorities.

Commitment to JFF's mission and values; familiarity with Jewish communal organizations a plus.
