The Resource Administrator is responsible for coordinating organizational resources, maintaining data integrity across systems, and providing administrative support for operational processes. This role serves as a key administrator for the organization's CRM platform and monday.com workspace, ensuring accurate data management, workflow efficiency, reporting, and user support. The Resource Administrator works cross-functionally to streamline processes, improve data quality, and support organizational goals.
Essential Duties and Responsibilities
Resource & Administrative Management
- Coordinate and track organizational resources, projects, and assignments.
- Maintain accurate records, files, and documentation.
- Assist with scheduling, meeting coordination, and operational support activities.
- Monitor deadlines and ensure timely completion of assigned tasks.
- Develop and maintain standard operating procedures and process documentation.
CRM Administration
- Maintain and update CRM records, including contacts, clients, donors, customers, vendors, and stakeholders.
- Ensure data accuracy, consistency, and integrity within the CRM system.
- Create and manage reports, dashboards, and data exports.
- Support user training and CRM best practices.
- Troubleshoot data issues and coordinate system enhancements as needed.
- Assist with data imports, data cleanup, and ongoing database maintenance.
monday.com Administration
- Administer and maintain monday.com boards, workflows, automations, and dashboards.
- Configure project tracking and resource management tools.
- Create custom reports and performance metrics for leadership.
- Support users with system navigation, training, and troubleshooting.
- Identify opportunities to improve workflows through automation and process optimization.
- Ensure projects and tasks are accurately tracked and updated.
Reporting & Analytics
- Generate operational and management reports.
- Analyze data trends and provide actionable insights.
- Monitor key performance indicators (KPIs) and resource utilization.
- Assist leadership with data-driven decision-making.
Collaboration & Support
- Work closely with department leaders to support operational initiatives.
- Serve as a liaison between teams to ensure effective communication and coordination.
- Provide excellent customer service to internal and external stakeholders.
Qualifications
- Associate's or Bachelor's degree in Business Administration, Information Systems, Communications, or related field preferred.
- 2-5 years of administrative, operations, project coordination, or database management experience.
- Hands-on experience administering a CRM system required.
- Experience using and maintaining monday.com required.
- Experience creating reports, dashboards, and workflow automations preferred.
Technical Skills
- Proficiency in monday.com administration and workflow management.
- Experience with CRM platforms such as Salesforce, HubSpot, DonorPerfect, Blackbaud, Microsoft Dynamics, or similar.
- Advanced Microsoft Office skills, particularly Excel.
- Strong data management and reporting capabilities.
- Familiarity with automation tools and integrations preferred.
