The Staff Application Specialist is responsible for maintaining and managing the daily accounts receivable function of the company function of the company. Primary duties include tracking and recording payments from customers, resolving discrepancies, ensuring the timely collection of outstanding invoices and maintaining accurate financial records. Collaborates closely with other departments, such as sales, finance and customer service, to streamline processes.
Essential Responsibilities
- Record and reconcile daily cash receipts, donations, grants, and other revenue sources.
- Prepare and post journal entries to the general ledger.
- Process bank deposits and perform monthly bank reconciliations.
- Reconcile balance sheet and income statement accounts.
- Track restricted and unrestricted funds in accordance with donor requirements.
- Assist with month-end, quarter-end, and year-end closing processes.
- Support preparation of financial statements and management reports.
- Maintain supporting documentation for audits and grant reporting.
- Monitor accounts payable and accounts receivable transactions as assigned.
- Assist in budget preparation and variance analysis.
- Ensure compliance with internal controls, accounting policies, and nonprofit regulations.
- Collaborate with development and program staff to accurately record donor contributions and grants.
- Support annual external audits and tax reporting requirements.
Qualifications
- Bachelor's degree in Accounting, Finance, or related field.
- 2-5 years of accounting experience; nonprofit experience preferred.
- Knowledge of GAAP and nonprofit accounting principles.
- Proficiency with accounting software and Microsoft Excel.
- Strong analytical, organizational, and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to maintain confidentiality and manage multiple priorities.
Preferred Qualifications
- Experience with grant accounting and donor fund tracking.
- Familiarity with nonprofit financial reporting.
- CPA designation or CPA candidate preferred.
