Position Summary:

The Receptionist is responsible for front office administration and serves as the primary point of contact for all incoming calls while working within the mission, vision, and core values of the Federation. This role requires excellent customer service and communication skills, as the Receptionist will interact with community members, donors, volunteers, and staff.

The Receptionist manages a high-volume phone system, provides accurate information, directs calls appropriately, and ensures clear and timely communication across the organization.

Essential Duties and Responsibilities:

  • Serve as the primary point of contact for all incoming calls to the Federation.
  • Answer a high volume of calls in a professional, courteous, and timely manner.
  • Assess caller needs and route calls to the appropriate staff member or department.
  • Take clear, accurate, and detailed messages and ensure timely delivery.
  • Respond to general inquiries about the organization, programs, and events.
  • Maintain a strong understanding of departments and staff roles to ensure proper call routing.
  • Greet visitors and provide a welcoming and professional front desk experience.
  • Perform general administrative duties including data entry, filing, and document preparation.
  • Assist with maintaining front office organization and cleanliness.
  • Support a fast-paced environment where priorities may shift quickly and require immediate attention.
  • Maintain professionalism, reliability, and strong attention to detail at all times.

Shared Office Duties:

Providing backup support for general office duties, including but not limited to:

  • Opening and distributing mail
  • Ordering supplies
  • Providing administrative support for events
  • Other duties as assigned

Qualifications and Success Factors:

  • High School diploma required; associate degree or higher preferred.
  • 2–5 years of receptionist, administrative, or customer service experience preferred.
  • Experience managing multi-line phone systems or high call volume environments strongly preferred. Willingness and ability to learn TEAMS phone system.
  • Excellent customer service skills and professionalism required.
  • Excellent written and verbal communication skills required.
  • Strong organizational skills with high attention to detail and ability to multi-task and prioritize.
  • Demonstrated reliability, punctuality, and strong work ethic.
  • Strong interpersonal skills and ability to work independently and collaboratively.
  • Ability to accurately take messages and document information clearly.
  • Strong knowledge of basic office computing, including MS Office (Outlook, Word, Excel, Teams).
  • Ability to remain calm and professional in a fast-paced environment.
  • Ability to handle confidential information with discretion.

Pay Rate:

In addition to the benefits the hourly pay for this role begins at $25.00 per hour. We benchmark our compensation for new hires in relation to the role, level, and role location; however, we consider a multitude of factors, to include relevant experience, skills, and education/training, to determine compensation levels.
